Wytheville Community College is seeking a candidate to provide administrative support to the Office of the Vice President of Instruction and Student Development in support of the college’s mission : Dedicated to teaching excellence and student success, Wytheville Community College is an educational and community leader, providing lifelong career and personal growth, cultural enrichment, and economic advancement .
Purpose Provide administrative support for the efficient operation of the Office of the Vice President of Instruction and Student Development with a focus on management of operations and customer service.
This position will perform a variety of complex and confidential administrative duties and will interact with senior level administration, deans, directors, public and private officials, faculty, staff, students, and the public.
Some of the job responsibilities include but are not limited to the following :
- Serving as the general office manager, assisting the VP of Instruction and Student Development in implementing functions in the department including : greeting and assisting visitors;
- reviewing office correspondence for accuracy; developing and maintaining the working calendar; answering phone calls; maintaining the budget for the office;
- organizing and maintaining purchasing for the department; and making travel arrangements for the VP of Instruction and Student Development;
- Coordinating the academic calendar and maintenance of the college catalog;
- Processing and reviewing all final contracts for part-time faculty each semester and for summer pay for full-time faculty;
- Managing professional development, educational aid, and faculty awards;
- Serving as the back-up to the administrative assistant for the President; and
- Assisting with special function projects and events.
This position will report directly to the Vice President of Instruction and Student Development. Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's / Required Qualifications
- Previous office management or administrative assistant experience;
- Extensive experience in clerical and / or office environment;
- Advanced computer skills to include word processing and spreadsheet software;
- Ability to communicate both in writing and orally with diverse constituent populations;
- Ability to prioritize tasks and perform routine duties with minimal supervision; and
- Experience and / or education equivalent to an Associate’s degree.
Additional Considerations
- Experience in a higher education environment;
- Purchasing and budget experience; and
- Knowledge of VCCS and state of Virginia policies and procedures.
