Summary :

We are looking for an experienced Operations Manager to oversee our day-to-day operations and programming, to ensure that our activities are aligned with our organizational mission, vision, values, and strategic plan.

Justice for My Sister (JFMS) trains women of color, nonbinary folks and foster youth in filmmaking with a gender equality and racial justice lens.

Using a trauma-informed approach, we seek to provide artists of various ages and skill levels to transform stories marked by pain into stories of liberation.

The Operations Manager will supervise daily operations and internal and external communications with staff, partners and stakeholders, contractors, and volunteers.

The individual in this role will support the ED in consistently innovating our company culture with our team and providing meaningful opportunities for our staff to grow in their leadership.

The OM will oversee various administrative and logistical coordination efforts and lead the team as we mindfully scale our organization and capacity to deepen the impact we have on our community.

They will ensure the team’s decision-making is informed by the values of Justice for My Sister integrity, community, vulnerability, honoring lineage, respect and making space for mistakes to grow, and accountability.

This role is ideal for someone with proven experience in scaling a company to the next level of growth and capacity.

RESPONSIBILITIES

Organizational Growth (35%)

  • Provide guidance, weekly one-on-ones and ongoing support / collaboration with key administrative staff, including but not limited to the Executive Director, Programs Manager, Executive Assistant, Grants Manager, and Communications Coordinator.
  • Create a culture of feedback with all staff across the organizational chart.
  • Ensure the team is properly documenting, repurposing, and archiving data, including onboarding materials, surveys, contact information, photography, and other assets.
  • Oversee events planning calendar, and ensure all promotional assets, links, and outreach are available, documented and archived.
  • Facilitate staff meetings to collectively evaluate team workflow to continue the development of best practices that better serve our community.
  • Create an environment where different perspectives are heard and welcomed.
  • Exercise discernment on when decisions must be deferred to the ED, and have open conversations on how to determine this as the needs of the organization evolve.
  • Identify potential partnerships and opportunities to grow fee-for-service structure including research and planning meetings for collaborations and networking.
  • Support the Executive Director in the implementation of the organization’s strategic plan and communicate to the team how each action item builds to the overall vision.
  • Spearhead efforts to implement and maintain a CRM.
  • Frequently revisit work plans, guidebooks and SOPs with team members to ensure they are accurate and up to date.
  • Plan staff trainings and retreats to increase our team’s leadership capacity as we continue to grow as an organization.

Program Supervision (25%)

  • Work with the Programs team to create systems that efficiently communicate all data and impact.
  • Attend staff meetings to track both Teaching Artist and student progress and provide guidance where needed.
  • Supervise volunteers and interns and provide them with frequent one-on-ones to ensure they have meaningful projects and are intentionally integrated into the team.
  • Support the Programs team in creating partnerships with media companies to provide year-round job placement opportunities to participants.
  • Provide peer coaching to Programs Manager who leads a large team of coordinators and Teaching Artists.

Marketing (20%)

  • Supervise Communications Coordinator and Video Editor, setting expectations and providing feedback and accountability on performance and deliverables.
  • Ensure consistent messaging across all platforms, including social media, newsletters, email campaigns, website, and cross-promotion.
  • Remain informed of the nonprofit arts sector in Los Angeles and media arts organizations nationwide to identify possible collaborations and cross-promotions.
  • Lead in keeping our menu of services, sponsorship decks, and promotional videos relevant and reflective of our organizational values, voice, impact, and brand.
  • Ensure our calendar of events is updated, and coordinate efforts between the Programs and Communications teams to create ease of data transfer.
  • Spearhead the creation of the Annual Report.

Fundraising (20%)

  • Work with the team in authoring boilerplate language needed for donation appeals to corporations, individuals, media companies, and other stakeholders.
  • Oversee the end-of-year fundraising campaign in collaboration with the Communications Coordinator.
  • Serve as a liaison between vendors and the team for fundraisers and special events such as student film showcases.
  • Support the ED in donor and funder relations.
  • Serve as lead coordinator for special events.

QUALIFICATIONS :

  • Minimum of 5 - 7 years experience in the nonprofit sector.
  • Bachelor's Degree in related field or equivalent years of experience.
  • Excellent attention to detail and problem-solving skills.
  • Must be adaptable and comfortable working collaboratively.
  • Excellent time-management skills with the ability to manage shifting priorities and multiple, competing deadlines.
  • Ability to maintain a high degree of confidentiality.

REQUIREMENTS :

  • Ability to work independently as well as within a team while maintaining a high level of efficiency, consistency and professionalism.
  • Skilled in team building, managing in various directions, and setting expectations.
  • High level proficiency with G-Suite including Google Drive.
  • Experience working with vendors, negotiating, and budgeting (Excel / Google Sheets).
  • Proficiency in a CRM.
  • Experience tracking progress and reporting back to funders. Please be prepared to share prior work (reports, grants, etc) in the interview process.
  • Excellent interpersonal skills necessary to communicate with a wide variety of people.
  • Work style that is accessible, open, flexible, decisive, receptive, and supportive.
  • Strong personal diplomacy, including a highly professional temperament and the ability to work in a collaborative team environment.
  • Familiarity with nonviolent communication and a trauma-informed approach.
  • Experience working with creative artists, entertainment industry showrunners and writers is a plus.
  • Video production experience is a plus.

Job Compensation & Payment schedule

$31 - $33 / hour, commensurate with experience. This role is eligible for medical, dental, vision, and making personal contributions to a 403b retirement plan.

  • 40 hours / week
  • Payroll is every two weeks
  • Sick, holiday and vacation time.
