The Assistant Property Manager is responsible for supporting both the Asset Manager and Property Manager in the day-to-day operations of managing our clients multi-family / commercial / industrial properties.
This role involves a combination of administrative, financial, and customer service duties to ensure the smooth operation of the portfolio's managerial needs from both an Asset Management and Property Management perspective.
Key Responsibilities :
- Assist in addressing tenant inquiries, concerns, and requests promptly and professionally.
- Compile leasing reports from the listing brokers and assist with leasing activities, including lease renewals and move-in / move-out processes.
- Facilitate tenant communication and maintain positive relationships.
- Assist in preparing and managing property budgets.
- Handle accounts receivable and payable, including rent collection and processing invoices.
- Prepare financial reports and maintain accurate records using Yardi and Excel.
- Coordinate and oversee loan reporting, ensuring timely resolution.
- Conduct regular property inspections, if required.
- Liaise with contractors and vendors for repairs and maintenance services, as needed.
- Maintain, update, and organize property files and electronic record keeping.
- Support the Asset and Property Managers in various administrative tasks as needed.
- Assist in developing strong relationships with listing brokers - reviewing their marketing quarterly.
- Maintain and ensure accurate and up-to-date information.
Requirements :
- 1-5 years of experience in asset or property management or a related field ( at least some of that in the commercial space is required ).
- Proven experience with property management software, particularly Yardi .
- Proficient in Microsoft Excel and other Microsoft Office applications.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Detail-oriented with strong analytical and problem-solving skills.
- High school diploma or equivalent required; bachelor’s degree in business administration, Real Estate, or a related field preferred.
- An Arizona real estate license is preferred (but NOT required)
MUST be currently local to Greater Phoenix and able to work in our Scottsdale office 5-days / week.
