POSITION SUMMARY

The Supervisor / Field Trainer, Organ Operations includes all responsibilities of a DNWest Clinical Procurement Coordinator along with additional supervisory functions.

The Supervisor / Field Trainer, Organ Operations is responsible for the planning, developing, implementing, and evaluating of assigned clinical team in areas of organ procurement for transplant.

This individual is responsible for ensuring that the clinical procurement coordinator team provides high quality service at all times so that all donation opportunities are realized and maximized meeting the mission and vision of Donor Network West.

The Supervisor / Field Trainer, Organ Operations, in conjunction with the Director of Organ Operations, manages the day-to-day administrative responsibilities of staff such as scheduling, timecards, personnel expenses, and evaluations.

In collaboration with Learning & Development staff, coordinates newly hired staff clinical orientation, training, evaluation, and continuing education.

As a member of the middle management team, this individual actively fosters an organizational culture that is based on customer-service, collaboration, support, and constructive feedback for quality improvement.

The Supervisor / Field Trainer, Organ Operations provides input as needed into policy development, training requirements, and process improvement related to organ procurement.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

Clinical Responsibilities

As part of response team, works directly with all departments to ensure timely and appropriate response to organ referrals.

This includes adherence of assigned staff to the referral communication pathway to manage all active referrals, including shift / daily follow up to optimize every donation opportunity.

Reviews organ donor and referral activity with staff to identify adherence to organizational expectations for timely support to internal and external customers.

Develops action plans with assigned clinicians to address areas of improvement.

Performs appropriate follow-up with physicians, nurses, and other donor hospital staff in regards to DNWest staff to concerns raised during onsite situations.

Understands hospital and DNWest escalation protocols.

  • Encourages and supports current research projects with staff and inspires teams to explore and investigate all inquiries into continued learning from clinical practice related to donation and transplantation.
  • Collaborates with regional leadership to provide clear and consistent DNWest messaging related to the donation process.
  • Responds onsite independently and / or in conjunction with assigned staff to hospital referrals and donors within designated time outlined in expectations, policy, and guidelines.
  • Communicates with the attending physician and other members of the healthcare team to establish rapport and ensure a collaborative and team oriented approach to referrals and donors.

This may include but is not limited to : maintenance of potential donor patients, determination of medical suitability, the donation discussion and authorization process, specific testing and procedures required, allocation of organs, and coordination of recovery.

Expected to support organ operations needs during periods of high activity which may include donor assignments on day, night, weekend, and holiday shifts.

Training Responsibilities

  • In conjunction with the department leadership team and L&D, assists with onboarding and on-going instructor-led and on-the-job training of team members within their focus area.
  • Effectively and professionally trains staff according to an established department training plan, current policies, and current practices.
  • Participates as a subject matter expert who partners with L&D to evaluate, develop, and update training plans and materials.
  • Coordinates the development and implementation of hands-on simulation training with L&D staff using approved resources.
  • Provides on-site training and skills / competency assessment. Establishes opportunities for coaching and support for staff using all available resources.
  • Partners with L&D to ensure that learning objectives are taught and assessments are conducted with consistency.
  • Documents training progress in the learning management system in an accurate and timely manner.
  • Assists family care team in identifying specific needs for assigned staff related to on-going family support, formal authorization requests, registry notification, and dual advocacy.
  • Collaborates with department leadership, preceptors, and educators to attend check-ins and provide feedback to staff.
  • Schedules and conducts regular debriefing sessions with CPC trainees, CPC staff, preceptors, and department leadership to identify strengths / weaknesses, review achievement / non-achievement of training objectives, identify future training goals and appropriately document staff member’s case experiences.
  • Assists L&D and department leadership in the identification and training of clinical preceptors.
  • Coordinates training presentations, training topics, and training activities for organ operations and other department meetings as requested.
  • Advocates for learners by creating supportive learning opportunities.
  • Participates in the train-the-trainer program and the community of practice for learning.

Administrative Responsibilities

  • Supervises assigned clinical staff which includes but is not limited to : recruitment, interviewing, and candidate selection;
  • scheduling; training and development; coaching and counseling; appraisal and recognition; career development and advancement;

salary review and recommendation; and disciplinary action in accordance with DNWest policy and procedures.

  • Coordinates team scheduling in assigned region to provide adequate clinical resources for response to referrals and donor management.
  • Integrates fiscal responsibility for DNWest by collectively reviewing and approving staff timecard entries, expense reporting, and budget deviations with the Director of Organ Operations.
  • Activates the DNWest Quality Systems occurrence reporting system and completes follow up with direct reports and leadership as assigned.
  • Identifies, develops, implements, and updates DNWest policy, guidelines, and job aids. Policy development is typically related to organ operations, but the Supervisor / Trainer could be engaged for input from other functions to determine consistency across job roles.
  • Ensures compliance with established quality assurance standards as well as local, state, and federal regulations relating to organ procurement to demonstrate commitment to quality.
  • As part of the leadership team, participates in departmental and organizational strategic planning focused on meeting goals and key performance measures.
  • Works with other members of the management team to attain DNWest’s organizational goals and performance metrics. Familiar with all aspects of Centers for Medicare & Medicaid Services benchmarking and speaks to continued improvement to meet measures.

QUALIFICATIONS

  • The Supervisor / Trainer must have the ability to speak clearly in order to accurately convey information either in person, electronically through email or text messaging, or by telephone to staff, healthcare partners, donor families and external stakeholders.
  • The employee must possess strong interpersonal skills, which allow for effectively communicating, negotiating, and resolving conflict with individuals and / or groups of individuals.
  • The Supervisor / Trainer has a strong knowledge of referral management, patient assessment, clinical management, organ allocation, and the overall donation process.
  • Exhibits the ability to provide oversight and assess daily needs of the donation process form the viewpoint of organ operations and clinical requirements to maximize donation.
  • Displays good judgement and critical thinking skills.
  • Excellent written and verbal skills.
  • Skilled in fostering an environment that promotes learning and practicing technical concepts / terms.
  • Able to communicate with clarity and kindness.
  • Able to give and receive constructive feedback.
  • Willing to learn and apply standard practices in presentation, facilitation, and follow facilitator guides for established training.
  • Willing to learn and apply to learn the basics of adult learning theory and the impact of curriculum and assessment design.

EDUCATION AND EXPERIENCE

Bachelor’s degree in registered nursing or biological sciences or an equivalent degree / diploma / certification in an allied health care field (i.

e. emergency medical technician-paramedic or respiratory therapy) or commensurate work experience.

  • Certified Procurement Transplant Coordinator. Certification may be completed in the first 12 months of employment.
  • Master’s degree in Life Science or similar field preferred.
  • The minimum requirements for this position include but not limited to the following :
  • Minimum of three years’ experience working in an organ procurement organization and a CPC.
  • Proven leadership, communication, preceptor, and supervisory and coaching skills.
  • Must have the ability to travel within the DNWest service area by car. Must maintain a valid driver’s license and current vehicle insurance based on applicable state minimum insurance coverage standards.

$44.43 - $55.55 an hour
