Summary

The position provides support to MUSC’s international travel safety process and procedures, including implementing and maintaining international traveler tracking systems;

monitoring the University's international travel exposure, assisting in key operational aspects of travel safety, and supporting travel preparedness and emergency response initiatives that promote the safety and well-being of MUSC international travelers.

Serves as a University responder to crises and incidents involving international travelers including after-hours calls. This position reports to the Executive Director of the Center for Global Health. This a hybrid work position.

Job Description

The position provides support to MUSC’s international travel safety process and procedures, including implementing and maintaining international traveler tracking systems;

monitoring the University's international travel exposure, assisting in key operational aspects of travel safety, and supporting travel preparedness and emergency response initiatives that promote the safety and well-being of MUSC international travelers.

Serves as a University responder to crises and incidents involving international travelers including after-hours calls. This position reports to the Executive Director of the Center for Global Health.

30% - Actively and continuously monitors world events and proactively analyzes health, safety and security risks with the potential to impact MUSC travelers abroad and recommend appropriate and timely mitigation response.

Work with travelers to complete and improve plans to satisfactory levels for travel approval and develop risk mitigation strategies.

Serves as a University responder to crises and incidents involving international travelers including after-hours calls. Issues outreach messaging to international travelers as needed.

Assists International Travel Oversight Committee with review processes for high-risk travel and provides relevant background materials for cases under review.

Maintains a system to verify travelers have completed travel requirements and follow-up with travelers out of compliance.

25% - Oversee international travel systems and procedures, including the Travel Registry systems and the International SOS communication portal and online systems.

Manage day-to-day operations including but not limited to enhancements, creating / editing workflows, approvals and processes, setting access permissions, general troubleshooting;

Improve the tools for both end-user ease of use and reporting needs. Serve as primary contact and liaison with System vendors for service issues, data feed integrations, upgrades, and overall adjustments and / or improvements.

Support university travelers navigating the systems, and provide training as needed.

20% - Help travelers identify and utilize campus resources, register travel, travel abroad health insurance, and provide guidance on location-specific health, safety, and travel logistics issues.

Cultivates relationships with subject matter experts on global safety including professionals from other universities, OSAC, URMIA, and the PULSE network to stay current on new technologies, innovation, information, etc.

Develops and maintains an incident reporting system and produces analytics to identify and monitor trends in incidents affecting MUSC travelers.

Prepares traveler data / analysis for various reports and presentations.

20% - Through communication, resource development and outreach, raise awareness of resources, insurance benefits and requirements, and guidelines for faculty, staff, and students on university-related travel.

Develop travel preparedness and emergency response content and training materials to be used in a variety of channels (ie.

orientations, workshops, online learning modules) for travelers and revise content based on changing conditions and best practices in the field.

Maintains and improves content and duty of care resources on global travel webpages.

5% - Other Duties as Requested.

Job Description

Minimum Requirements : A bachelor’s degree and a minimum of two years of experience in a relevant field such as global safety and security;

emergency, risk or crisis management; international programming; international education; and / or compliance activities at a university, non-profit or private business.

Knowledge, Skills and Abilities Strongly Preferred :

Experience writing and implementing policies and operational procedures in a university setting

Experience living, studying or working abroad

Strong understanding of study abroad / experiential learning operations, higher education, risk assessment protocols, and emergency response coordination.

Extensive knowledge in International crises or emergency response experience,

travel risk management practices and security resources

Experience using Terra Dotta software solutions or similar traveler registry and tracking system.

Excellent written, organizational, and interpersonal communication skills.

Excellent analytical, problem-solving and project management skills

Ability to work both independently and collaboratively

Ability to stay calm under pressure, exercise diplomacy during crisis resolution and to communicate confidently and discreetly when handling difficult or sensitive crises

Ability to establish and maintain effective working relationships.

Ability to manage systems, data, tracking impact and compliance and leveraging technology to streamline operations

High comfort level and proficiency with learning and maintaining online systems and tools , data analysis methods and techniques.
