This is a hybrid position with one to three days a week in the office at Mission Bay.

Uses skills as a seasoned and experienced administrative operations professional to manage, analyze, and resolve operational problems of moderate scope with a full understanding of industry practices and organizational policies and procedures.

Perform short- and long-term planning for the organization. Demonstrates good judgment in selecting methods and techniques for obtaining solutions.

The analyst will serve as the team lead for the Financial Transaction Services team, responsible for training new and current staff on UC policies, procedures, and departmental expertise across all financial services, including reimbursements, purchasing, participant payments, cash handling, invoices, and other miscellaneous payments.

In addition, the analyst will manage various ongoing HR operational tasks, working closely with the Neurology Staff Affairs and Finance teams on appointment administration and departmental HR initiatives.

This includes ad hoc reporting, communications, and handling HR submissions in the PeopleConnect system as needed. Reporting to the Administrative Services Manager, the analyst will collaborate with both finance and HR teams to efficiently review a high volume of transactions and resolve routine and complex issues with minimal supervision.

Department Description

The Department of Neurology is a teaching, research, and clinical care unit within the School of Medicine (SOM). The Department of Neurology is a large, multi-site department, with locations including Mission Bay, Parnassus, Mt.

Zion, ZSFG, VAMC, and the Gladstone Institutes, and is affiliated with the UCSF Weill Institute for Neurosciences. The department has 250+ faculty and academic employees, 300+ staff positions, and 182 trainees including residents (50), clinical fellows (47), and postdoctoral scholars (85).

The Department has an annual operating budget of over $120M and has consistently been the top recipient of NIH funding across all U.

S. Departments of Neurology, in addition to being the #1 or #2 recipient of philanthropic dollars across all departments at UCSF.

The department is also ranked #1 nationally by US News and World Reports for its clinical care.

Required Qualifications

  • Bachelor's degree in a related area and / or equivalent experience / training.
  • Solid knowledge of common University-specific computer application programs.
  • Ability to use discretion and maintain confidentiality.
  • Strong skills in short-term planning, analysis, problem-solving, and customer service.
  • Thorough knowledge of financial analysis and reporting techniques, and / or human resources policies and procedures for staff and academic employees.
  • Intermediate-Advanced knowledge of Microsoft Office Suite programs and Smartsheet.
  • Minimum 3+ years of related experience.

Preferred Qualifications

  • Thorough knowledge of University rules and regulations, processes, protocols, and procedures for budget, accounting and fund management, and / or personnel management.
  • Interpersonal skills include verbal and written communication, active listening, critical thinking, persuasiveness, advising, and counseling skills.
  • Knowledge of a variety of administrative operational activities such as event planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines.
  • Leadership skills to provide guidance, coaching, and mentoring to professional and support staff.
