Administrator Position

Insurance companies are one of the largest client segments at Oaktree, diversified across region and liability type. Representing approximately $33 billion in AUM across 119 relationships as of September 2024. The Insurance Solutions team at Oaktree is responsible for partnering with the marketing and investment teams to deepen engagement with insurance clients, develop new products and solutions, and structure and customize strategies for effective balance sheet outcomes.

We are seeking a highly experienced, proactive, and resourceful Administrator to provide comprehensive support to the Global Head of Insurance, the Head of Americas Insurance, and two additional team members within the Insurance group. This individual will manage complex administrative tasks, lead project coordination, and leverage technology to drive efficiency.

Responsibilities include :

  • Assist in coordinating strategic initiatives, tracking deadlines, and following up on action items.
  • Conduct research and analysis to support decision-making and presentations.
  • Build and maintain team dashboards or trackers for key priorities and deliverables.
  • Partner with internal groups to support recruiting, onboarding, and budget tracking.
  • Help streamline workflows and ensure team alignment around business objectives.

Technology & Process Efficiency

  • Leverage AI-enabled tools (e.g., ChatGPT, Microsoft CoPilot, workflow automation platforms) to draft communications, summarize documents, and create process efficiencies.
  • Build templates, trackers, and basic data analysis tools to improve team operations.
  • Stay current on emerging technology and recommend new tools that can increase productivity.
  • Executive & Team Support

  • Assist in managing calendars, scheduling, and travel arrangements for senior leaders.
  • Coordinate logistics for meetings, conferences, and external client events.
  • Prepare and edit materials such as presentations, reports, and correspondence.
  • Support expense reporting and administrative compliance requirements.
  • Professional Development

  • Gain direct exposure to senior leadership decision-making, strategy, and client engagement.
  • Learn the fundamentals of the insurance and investment management businesses through hands-on project and operational work.
  • Qualifications include :

  • Minimum 710 years of experience ideally supporting multiple Managing Directors, C-level leaders, or equivalent in financial services, insurance, investment management, or consulting industries.
  • Prior experience creating, editing, and formatting professional presentations while aligning with brand standards required.
  • PMP certification, project management coursework, or demonstrable project management experience is a plus.
  • High proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word); experience with expense management and CRM systems a plus.
  • Comfortable with AI-enabled productivity tools (e.g., ChatGPT, Microsoft CoPilot) and able to leverage technology for efficiency.
  • Skilled in process improvement and operational efficiency initiatives.

  • Education :

    Bachelor's degree required.

    Base Salary : $100,000 - $125,000

    In addition to a competitive base salary, you will be eligible to receive discretionary bonus incentives, a comprehensive benefits package and a flexible work arrangement. The base salary offered will be commensurate with experience and / or qualifications, industry knowledge and expertise, as well as prior training and education.
