Primary Purpose :

Support the delivery of services of the Center for Afterschool, Summer and Enrichment (CASE) for Kids division and perform administrative and clerical duties to support the programs and activities of the division.

Specifically provide client support and administrative functions for the division service unit : Quality Services.

Qualifications :

Education / Certification :

  • High school diploma or GED certificate
  • Some college coursework or Associate’s degree preferred

Special Knowledge / Skills :

  • Ability to type a minimum of 60 words per minute
  • Strong knowledge of computer systems and software applications (strong EXCEL, Word etc.)
  • Experience maintaining client database systems
  • Effective oral and written communication, interpersonal and analytical skills
  • Special event logistics support experience
  • Strong customer service skills

Experience :

Four (4) years related experience

Major Responsibilities and Duties :

  • Process Payment Authorization and Purchase Order requisitions to ensure payments to vendors.
  • Assist with meeting and event logistics including booking meeting spaces, ordering food, providing clerical support to presenters, creating signage for events, and maintaining sign in sheets.
  • Oversee office needs of assigned team daily including serving as a point of contact for CASE assigned team, maintenance of team inventories and office materials, as well as receiving, storing and issuing supplies and equipment.
  • Review and reconcile budgets and track expenditures.
  • Screen and direct incoming calls, correspondence, and visitors.
  • Maintain good relationships with department personnel, clients, and the public.
  • Prepare and submit required division reports. Administer the division record- keeping system and update records and publication.
  • Maintain division client database. Assist manager in updating records as necessary.
  • Support manager in submission of HCDE Board Agenda items, grants as well as the processing of contracts and legal agreements with partnering governmental agencies, organizations, and individuals.
  • Create and maintain reports as needed for compliance and improvement.
