Purpose

The Senior Academic Program Coordinator supports the Department Chair, Associate Chair, and Director of Administration to implement strategic goals and objectives for the department’s growing academic programs.

Regularly collaborates with the Graduate Program Administrator and Academic Program Coordinator to align daily operations with short and long-term strategy and supports an organizational culture that is innovative, collaborative, fast-paced, and agile.

Responsibilities

Manage all department academic processes, including teaching assignments, course offerings, course and program enrollment, curricular updates and initiatives, and TA recruitment and assignments.

Collaborate with the Director for Administration and Graduate Program Administrator on planning for academic programs. Monitor well-being of and support provided to students enrolled in SDS academic programs.

Serve as a resource for SDS faculty and academic advisors on department, college, and university academic policies, procedures, and resources.

Collaboratively plan with the Department Chair, Associate Chair and Director of Administration for growth in existing and new academic programs.

Liaise with programs across campus to assess and meet course demands. Coordinate and enact curriculum and catalog changes.

Manage course inventory and course scheduling processes with assistance of the Academic Program Coordinator. Ensure that course offerings meet corresponding demand and allow students to fulfill degree requirements in an efficient manner.

Collaborate with SDS and CNS leadership to plan for program growth and impact at scale.

Develop and maintain tracking system to assess and evaluate student retention, grade point averages, and academic outcomes;

use data to effectively improve academic systems and program activities. Ensure compliance with institutional, state, and federal procedures and regulations.

Ensure program objectives are met, resources are identified, and recommendations are implemented for improvement and enhancement.

  • Develop and support processes for responding to current and future student inquiries in a timely fashion. Ensure that the department’s website provides up-to-date information about all academic programs.
  • Provide administrative assistance to the Director of Administration, Department Chair, Associate Chair, and other faculty to support experiential learning and student research opportunities.

Serve as back-up for the Academic Program Coordinator’s instructional support duties. Attend meetings, professional development, and committee functions as assigned.

  • Oversee the organization of all academic program events.
  • Other related functions as assigned.

Required Qualifications

Bachelor's Degree. Five years’ experience working in academic program administration or coordination. Demonstrated initiative and follow-through;

tact; diplomacy and judgment in dealing with students, faculty, and other staff and administrators. Exceptional customer service and written communication skills.

Demonstrated experience with creative problem solving, independent decision-making, and collaborative work. Ability to work efficiently and effectively under pressure with accuracy and attention to detail.

Demonstrated ability to collaborate in a team-oriented environment. Proficiency with software including MS Word, Excel, and Outlook.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

Experience working with students and faculty in an academic capacity. Experience with UT-Austin policies and processes pertaining to course scheduling, students.

Experience with UT-Austin information systems (e.g., FASET, CIM, CSU, EASI : View Student Record, Graduate Worksheet, GCD Grad School Progress, RGEN, Advisor’s Toolkit, Cognos, UT Box, Mainframe, Qualtrics, Zoom).

Working knowledge of UT Austin software systems (*DEFINE, Workday, Cognos, DocuSign, etc.).

Salary Range

$70,000 + depending on qualifications
