Reports to : Cooperative Manager

Position Description :

The Cooperation Administrative Assistant provides essential administrative support to the cooperation department, assisting with coordination, communication, and organization of cooperative projects and partnerships.

This role involves managing documentation, scheduling meetings, and facilitating communication.

Key Responsibilities :

Administrative Support :

  • Perform general clerical duties including answering phones, responding to emails, and managing correspondence.
  • Maintain and organize files, records, and documentation related to cooperative projects.
  • Prepare and distribute meeting agendas, minutes, and reports.
  • Assist in the preparation and editing of documents, presentations, and other materials.

Coordination and Scheduling :

  • Schedule and coordinate meetings, conferences, and events for the cooperation department.
  • Manage calendars and ensure timely communication of schedules.
  • Arrange travel and accommodations for staff and members as needed.
  • Assist in coordinating logistics for cooperative projects and events.

Communication Facilitation :

  • Act as a point of contact involved in cooperative projects.
  • Facilitate effective communication between team members, partners, and members.
  • Ensure timely dissemination of information and updates related to cooperative activities.
  • Assist in drafting and sending out communications, newsletters, and updates.

Project Assistance :

  • Support the planning, implementation, and monitoring of cooperative projects.
  • Assist in tracking project timelines, deliverables, and milestones.
  • Help in gathering and compiling data for project reports and evaluations.
  • Provide administrative support in project budgeting and expense tracking.

Office Management :

  • Back up the front desk of the main office as needed.
  • Manage incoming and outgoing mail and deliveries.

Other Organizational Duties :

  • Conduct business in accordance with the Mission Action Employee Handbook, exercising sound judgment and serving the best interests of the agency and the community.
  • Commit yourself to treating each community member with respect and dignity.
  • Perform other duties as assigned.

Knowledge, Skills, and Abilities :

  • Bilingual in spoken and written Spanish, REQUIRED
  • Background in and passion for working with low-income and immigrant communities around issues of affordable housing, land use, and / or immigrant & worker rights;

familiarity with these issues in the Mission District and San Francisco, highly desired.

  • Strong commitment to serving low-income and underserved communities, with an ability to relate to and communicate with a broad range of clients and colleagues
  • Experience working with people from diverse backgrounds including multiple-diagnosed low-income populations, people who are marginally housed, LGBTQ individuals, people of color and persons with disabilities
  • Commitment to social justice issues, and familiarity with Mission Action mission and organizational work
  • Excellent time management skills and ability to multitask and prioritize work, required
  • Must be well organized, efficient, highly motivated, and able to handle multiple tasks at once, work well under pressure, and take initiative.
  • Strong attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Proficient computer knowledge, ability to use Windows and Microsoft Office (particularly Excel), as well as proficiency with the internet
