Job Description
The Office & Client Experience Manager is an integral part of our day-to-day office operations. You’ll oversee our office operations, CRM management, and ensure client relationships and service model are maintained. The ideal candidate is organized, can manage multiple calendars, is comfortable calling clients, enjoys creating relationships, and is flexible and adaptable to a growing team. This is an in-office position, as you will be the face of our company.
Compensation : $60,000 yearly
Responsibilities :
Office & Team Responsibilities
- Take initiative on keeping our office running smoothly, including being on top of office supplies, organization, filing systems, the look and feel of the office for team members, and client experience.
- Maintain the calendars of multiple team members in coordination with the client service model.
- Order lunches and provide snacks for the office, client meetings, and team meetings.
- File expenses and keep track of all company bills and receipts.
- Apply for investment and insurance licenses for advisors.
- Schedule and book internal meetings, travel, and events across the team.
- Handling booking flights, hotels, and food accommodations for all these meetings and events.
Client Service Responsibilities
Maintain the client service model and cycle of touch with scheduling and rescheduling client meetings, including holding advisors accountable for off-cycle calls.Manage our CRM client database and ensure it stays up to date with our service model.Greet clients in the office to create a comfortable and welcoming environment.Handle incoming calls from clients and route them to the appropriate team member.Organize and input all meeting case notes, business opportunities, and team follow-ups through CRM.Daily Time Spent
50% Client Service Model / Calendar.25% CRM & Case Notes.25% Admin & Miscellaneous (lunches, folders, snacks / supplies, greeting clients, etc).Qualifications :
General computer skills with Microsoft Office, Outlook, or similar systems.Must possess exemplary communication and relationship-building skills.2+ years of professional work experience and / or client service.College degree preferred.Executive Assistant Experience.Intermediate knowledge of the financial industry and its terminologies.Detail-Oriented Skills.Strong organizational skills.Flexibility to deal with changing and growing practice needs.About Company
