In the role of a Grants Development Manager you will be working in Pediatrics ( Shared MCW CSG Administrative Services).
All remote work must be performed within one of the MCW registered payroll states, which currently includes : WI, AZ, FL, IL, IN, MD, MI, MN, MO, NC, TN,TX, and UT.
Purpose
Oversee grants management tasks for all pediatric divisions. Provides guidance and oversight on issues related to the fiscal, administrative and regulatory management of grants, contracts and sponsored programs from award receipt through closeout.
This position works closely with the principal investigator, support staff, and MCW Central Administration to provide post-award services in managing grants and contracts.
Manages team of staff responsible for working closely with Principal Investigators and support staff to prepare budgets, submit proposals, and advise Principal Investigators on contract, grant, co-operative agreement, foundation and gift terms and conditions throughout the period of the award.
Responsible for coordinating staff workflow to ensure policy and to meet deadlines.
Primary Functions
- Supervise post-award administration of over 700 grants and contracts for approximately 36 different pediatric division.
- Work with Principal Investigators (PIs), Grants / Contracts & Sponsored Programs, and external agencies to ensure timliness, accuracy, and compliance of all grant accounting and administrative functions.
Make recommendations to PIs regarding financial strategies that best meet their objectives. Work with PIs to develop budgets for applications.
- Manage grants, contracts, and other summary projects to ensure proper expenditures. Create process for projecting balances for grants / projects ending and make recommendations to principle investigators regarding strategies that best meet their objectives.
- Supervise grants management team members and coordinate their effort to support PI's and manage staff workflow to ensure policy and to meet deadlines.
- Perform complex analysis, data manipulation, and report generation. Develop, generate and maintain monthly financial and statistical reports for internal and external distribution.
Create fiscal reports and generate correspondence for control and management of Pediatrics' financial affairs as needed.
Collect, prepare and consolidate grant information for submission in accordance with agency and institutional deadlines.
Oversee applications through timely receipt in the Grants and Contracts Office.
Develop and maintain relationships with MCW Central Adminsitration Staff. Identify and propose solutions to inefficiencies and opportunities for cost reduction.
Investigate and resolve grant financial errors and discrepancies and make necessary corrections if needed. Provide guidance to principal investigators and support staff to gain a full understanding of the criteria and requirements necessary to manage each award.
Analyze monthly financial performance compared to budget. Monitor grant expenditures and spending trends through financial reports to ensure appropriate funds are available.
Ensure that direct costs charged to grants and contracts are both available and allowable under sponsor guidelines and OMB Uniform Guidance.
- Support eBridge award management activities including but not limited to award reconciliation, subcontract requests and negotiations, award activation activities, labor distributions, and cross division / department coordination.
- Other research related system support including iLab and Forte administration.
- Respond to ad hoc grant financial requests and provide financial interpretation, analysis and market-based information.
Interpret MCW reports to internal departments and prepares queries or special reports upon request.
Manage and participate in orientation workshops to educate principal investigators and support staff about College and pediatric policies, forms, and procedures.
Oversee completion of special projects as assigned.
Support the Pediatric Academic Administrator in the development of the annual budget, including budget monitoring and control processes and procedures.
Maintain budgetary controls throughout the fiscal year.
- Provide other research related support as needed.
- Perform other duties as assigned.
Knowledge - Skills - Abilities
Excellent oral and written communication skills are essential. Strong critical thinking, problem solving and attentiveness to detail required.
Strong computer skills. Sufficient knowledge of program study area.

Appropriate experience may be substituted for education on equivalent basis
Minimum Required Education : Bachelor's degree
Minimum Required Experience : 8 years
Preferred Education : Bachelor's degree in Accounting, Finance, Business or related field or equivalent experience
Preferred Experience : 10 years of experience in grant management of equivalent size and scope. Experience with grant management in a medical research or educational environment preferred.
