Be a part of a world-class academic healthcare system at UChicago Medicine Ingalls Memorial Hospital as a Staffing Coordinator in the Administrative Coordinator department.
Here, you will provide staffing functions to a variety of Patient Care Services departments. This position is a 100% onsite opportunity .
You will need to be based in the greater Chicagoland area.
The Staffing Coordinator role requires extensive knowledge, understanding and utilization of the hospital’s scheduling, acuity, payroll, and HR compliance tracking systems.
Requires excellent customer service skills due to extensive interaction with both internal and external audiences, staff and leadership at all levels.
The ability to follow standard work, participation in managing for daily improvement, understanding and complying with union requirements, handling multiple tasks simultaneously in a fast-paced environment and exercising sound judgment and decision-making using prioritization skills.
Essential Job Functions
- Appropriately allocates staff, following union and time sensitive requirements
- Communicates staffing concerns, updates, changes and issues following the agreed upon Staffing Coordinator standard work
- Follows agreed upon Staffing Coordinator standard work and participates in managing for daily improvement
- Facilitates problem resolution for staff and leadership. Reviews issues and works towards a solution
- Updates, maintains and submits required documents to include but not limited to daily staffing reports, sick call and care companion logs, agency time slip audits and maintains an orderly system
- Monitors and reports on SRO performance to include but not limited to managing for daily improvement, auditing of agency timecards, sick logs and staffing updates
- Serves as MSP (Temp Agency) liaison to ensure timely and appropriate levels of use
- Approve agency time and attendance
- Trains and orients new Staffing Resource Office employees
- Participates in special projects as requested
- Performs other duties assigned
- May cross train to perform payroll duties
- Responsible for staffing office activities when Manager is off site
Required Qualifications
- Motivated individual with a customer focus approach toward internal as well as external customers
- High school diploma or equivalent
- Strong customer service, organizational, written communication, and problem-solving abilities
- Excellent interpersonal skills required due to extensive interaction with various internal departments, external vendors, staff and leadership at all levels.
Able to foster a positive working environment
- Demonstrated ability to exercise judgment, make independent decisions and assume responsibility
- Demonstrate ability to learn new systems and office equipment
- Proficiency needed in Microsoft Word and Excel
- Demonstrate ability to handle large volumes of work expeditiously, meet deadlines, and work under pressure
- Must have a professional demeanor, be able to work independently as well as part of an effective team and take initiative in following all tasks to completion
Preferred Qualifications
- Bachelor's degree in a health-care related field
- One to two years staffing experience and two to three years progressively responsible administrative experience in an academic or hospital environment
- Familiarity with scheduling and acuity Information Systems
- Knowledge or familiarity of medical terminology
