Administrative Assistant III - SPAHP - Phoenix Campus, Part Time
Position Summary :
This part time administrative assistant III position provides administrative support for the Assistant Dean for the School of Pharmacy and Health Professions (SPAHP) at the Phoenix Health Sciences Campus.
This position will also provide administrative support to the Pharmacy Program on the Phoenix campus. This position performs complex, advanced, diversified, and confidential administrative duties.
Work assignments can be broad in nature and may include general support for the student affairs activities on campus and other operational functions.
Other duties include communicating and coordinating with various individuals and / or departments; support for campus activities and initiatives, scheduling appointments, conferences, travel and organizing and staffing meetings;
handling confidential information and files; preparing special reports and correspondence; supports budget management; and summarizing and analyzing data.
Education & Experience :
- High school diploma or equivalent required.
- Associate degree preferred.
- 6+ years' administrative and / or office management experience.
Knowledge, Skills, and Abilities
- Proficiency in Microsoft Office Suite to include Word, Excel, PowerPoint, and Outlook
- Ability to function independently with appropriate guidance.
- Demonstrated verbal and written communication skills.
- Possession of a high-level of detail orientation.

Essential Functions :
- Provide administrative support to the Assistant Dean of SPAHP in Phoenix. Composes and prepares a variety of information, including memos, letters, and reports including critical information that may be time sensitive.
- Handles correspondence (Telephone, email, and text, among others). Routes appropriately, takes messages, and assists with questions.
Receives, sorts, distributes and / or handles incoming mail.
- Prepares presentation materials and coordinates meetings. Plans schedules, maintains calendar, coordinates travel arrangements.
- Maintains, updates and reviews files for various projects. Organizes files for retrieval of information. Provides general support for building operations.
- Supports budget management for the Assistant Dean of SPAHP to include processing invoices, expense reimbursements and direct payment requests.
Tracks information for budget planning and assists in budget preparation. Other duties as assigned.
Supports budget management with Pharmacy Program faculty development accounts (travel, memberships, registrations, and related purchases).
