Our office is located in Las Colinas, Texas. This position will have the following consideration :

Hybrid : Works regularly both Onsite (currently 3+ days per week) and Remote.

Job Description :

Provides administrative support to the Sales Department. Duties requiring considerable judgment, prioritization, and skill include :

Scheduling and Travel Arrangements

  • Maintains calendar and travel schedule for Sales, Sales Managers, Sales Training and Sales Candidates
  • Assists in maintaining Portfolio Management / Sales Team travel schedule
  • Coordinates travel arrangements and schedules for Sales, Sales Managers, and Sales Candidates
  • Coordinates implementation tasks and timeline for onboarding sales team members
  • Provides backup support hosting internal Zoom calls or meetings

Event Planning

  • Coordinates all aspects of semiannual sales conferences
  • Works with local hotels to negotiate the best corporate company rate
  • Processes conference registrations for Sales Team
  • Arranges distribution of Conference and Booth materials to sponsored events

Travel Arrangements

  • Processes conference registrations for SVP of Sales and Sales Team
  • Handles travel arrangements for SVP of Sales and Sales Team as needed
  • Handles travel arrangements for all Sales Candidates
  • Works with local hotels to negotiate the best corporate company rate

Sales Reporting

  • Generates and distributes Salesforce reports for Sales and Sales Management
  • Assists with annual sales budget preparation and monthly tracking
  • Tracks weekly sales expenses through Certify
  • Maintains records on all correspondence as required by the SEC as directed by Compliance
  • Prepares quarterly Board materials and monthly sub-advisor materials.
  • Summarizes Conference participation activities
  • Prepares quarterly sales expense tracking reports for Compliance and National Accounts

Admin Support / Office Management

  • Handles daily contact with internal and external customers, management, and visitors
  • Processes all territory sponsorship check requests
  • Maintains attendance records of all sales department associates and submits to HR for payroll processing
  • Monitors the [email protected] inbox
  • Provides backup support for the reception desk on a rotating basis
  • Performs other administrative duties as assigned

Requirements :

  • Previous secretarial / clerical / administrative experience, event planning, or project management experience.
  • Must possess exceptional office and communication skills, professional demeanor is imperative
  • Excellent analytical, organizational and computer skills using Word, PowerPoint, Outlook, and Excel with a high degree of accuracy
  • Preferred software skills include Salesforce (or other CRM) and Tableau
  • Must have great attention to detail, demonstrate initiative and the ability to prioritize multiple tasks. Experience coordinating corporate travel itineraries including flights, hotel, and ground transportation
  • Must be flexible, well organized, punctual, proactive and demonstrate the ability to take initiative
  • Qualities necessary for optimal performance include a positive attitude, enthusiasm, and an eagerness to learn, perseverance, responsiveness, and discretion
  • Must maintain a high level of professionalism and confidentiality
  • Ability to handle multiple responsibilities concurrently and work independently to perform a variety of tasks with accuracy and attention to detail
  • Above average proof-reading skills required
  • Excellent decision-making and problem-assessment skills are a must
