Well-respected non-profit based in Garden City is seeking an Executive Assistant to support the CEO.
The ideal candidate has 5+ years of administrative experience supporting c-level executives. This person will foster a positive workplace culture, demonstrate sound judgment in diverse situations, and possess strong skills in written and verbal communication, administration, and organization.
They will be adept at balancing multiple priorities while maintaining the highest level of discretion.
The position is paying up to $90K and the company would like to hire ASAP.
Responsibilities :
- Manage and coordinate the President / CEO’s daily calendar, including meetings and events.
- Handle incoming and outgoing correspondence and communications for the President / CEO.
- Create and prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents to support FCA’s objectives.
- Arrange travel and accommodations for C-level executives.
- Prepare expense reports and reconcile credit card statements.
- Screen phone calls and visitors, take and deliver accurate messages, respond to requests by gathering and providing information, and refer non-routine calls to appropriate staff.
- Optimize the President / CEO’s time by researching, collecting, and analyzing information in advance.
- Maintain Board correspondence, including preparing agendas, scheduling meetings, taking minutes, and completing necessary reports.
- Ensure that office equipment is operational and manage supply inventory.
- Supervise, train, and coordinate coverage for support staff.
- Attend all required agency, program, and regulatory meetings and trainings.
- Perform additional tasks, projects, and responsibilities as assigned.
Required :
- Minimum of 5+ years of experience as an executive assistant supporting C-level executives in a fast-paced corporate environment.
- Bachelor’s degree.
- Exceptional organizational and time management skills with the ability to multitask and prioritize effectively.
- Strong written and verbal communication skills with keen attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Proven ability to maintain confidentiality and handle sensitive information discreetly.
- Flexibility and adaptability to changing priorities and deadlines.
- Strong interpersonal skills with the capability to build relationships at all levels.
- Ability to work independently with minimal supervision and take initiative to anticipate needs and address issues.
- Valid and clean New York State Driver’s License.
