Job Description
The Director of Medical Records will that all Medical Health Records (paper or electronic) are completed in accordance to regulatory requirements and all applicable certifying bodies and New York State law.
The role of the Director of Medical Records is to strategically plan, organize, coordinate, and manage the tasks necessary to ensure the quality and the complete and accurate content of information in the patient’s electronic health record in accordance with standards developed by the medical staff, the Joint Commission and all state and federal regulatory agencies.
The Director is also responsible for ensuring strict confidentiality when handling and publishing patient information in accordance to the HIPAA Privacy Act and hospital policy.
Primary Responsibilities :
Provides hospital-wide leadership in the management of health information
within the electronic health record (EHR).
Directs the activities of the HIM staff to achieve desired outcomes in
patient satisfaction, information quality, and excellent service.
Develop and maintain work relationships with multi-disciplinary staff
including physicians, nurses, finance, administration, and information
services
Works collaboratively with physicians and clinical staff to establish
documentation standards and actionable improvement plans
Monitors local, state, and national trends in HIM. Monitors changes in legislation and accreditation that affect HIM and proactively incorporates them into existing policy and procedure.
Develops and maintains HIM policies and procedures to effectively
manage the content and publishing of EHR content.
- Educates hospital and department staff on HIM policies and procedures.
- Ensures ongoing training, staff development, and productivity
Coordinates all external audits / reviews of clinical information from all
insurers and providers.
Serves as a member of the various hospital and corporate committees and
the Executive Quality Assurance / Performance Improvement Committee
Serves as a resource to Case Management and Quality to support medical
necessity and the quality of services provided to patients.
Ensures compliance with privacy practices and consistent application of
sanctions for the failure to comply with privacy policies for all hospital
staff, extended workforce, and for all business associates in cooperation
with the Privacy Officer, Compliance, and legal counsel as applicable.
Provides reports on the status of chart completion and other requirements
for the Medical Record Committee and compose minutes
Maintains quality work to ensure timely completion of workload and
adherence to standards of quality control
In conjunction with the Health Information Administrator reviews and
evaluates existing systems, methodologies, policies and / or procedures;
develops, recommends implements, or guides and / or modifies system
policies
Maintain adequate inventory of equipment and supplies requisitions as
needed.
- Assigns and distributes work to staff.
- Monitors employee performance, to assure standards are being
maintained.
- Prepares employee performance evaluations.
- Resolves routine complaints and disciplines employees as required.
- Provides In-service training to all Personnel.
Interviews applicants and recommends qualified individuals for
hire
Assist and monitor all HIM EPIC work queues including the administrative
level ones below :

Patient info needing more research WQ ( used by HIM staff when
further review is needed)
Patient records that are flagged for merge but can’t be merged due
to overlapping admission dates.
Deficiency reports and Third notification Suspension letter escalations.
Requirements
Minimum Qualifications :
A. Education Preferred : Associate or Bachelor’s Degree in Health Information Management
B. License(s) Required : R.H.I.T or R.H.I.A (preferred) Accredited Record Technician, Registered Record Administrator Preferred
C. Experience / Skills Required : A minimum of three years of management experience, and EPIC certification.
