Client Service Associate / Office Assistant

We are currently seeking a full-time Office Assistant to handle a wide array of administrative tasks with a key client-facing role.
This role is approximately 40 - 45 hours per week and is based in our office in Short Hills, NJ with one or two days in our Bernardsville location.
We are looking for an individual who is comfortable stepping in and supporting their fellow coworkers when they are unavailable or overwhelmed.
You should possess the ability to multitask while setting and maintaining complex schedules and providing administrative support.
The ideal candidate for this job is client-focused, resourceful, extremely detail-oriented, diligent, and innately organized.
Specific responsibilities may include :
80% Client-facing activities; 20% back-end work such as printing, inventory, organizing, document creation, tracking projects on spreadsheets, etc.
Greeting employees, guests, candidates, vendors, and others with grace and patience, with an understanding of the impact your contribution makes in preserving our amazing culture
Answering client phone calls and responding to questions from prospective students / families
Scheduling and maintaining daily sessions for a complex office calendar
Assisting the Office Manager and / or Director of Business Operations on projects as assigned
Managing certain vendor relationships, addressing service requests and equipment repairs
Maintaining office production, assistance with revision of procedures, or devising new forms to improve the efficiency of workflows
Clerical duties (printing out test packets, sending emails)
Proctoring weekly practice tests for students
Conducting callbacks to schedule New Client Calls
Assisting in the development and implementation of process improvements as our organization scales
REQUIREMENTS
2 - 3 professional references required (current or former managers / supervisors, colleagues, or clients)
Highly professional, minimum 4 years experience as an assistant
Superb interpersonal, written, and verbal communication skills
High emotional intelligence (EQ) for white-glove service to our clients
Strong tact, diplomacy, and cordial conversation skills to interact and work supportively with children, parents, and staff
Capable of taking direction and implementing instructions accurately and efficiently
Extremely meticulous and detail-oriented
Strong tact, diplomacy, and friendly; interact and work supportively with children, parents, and staff
Demonstrate self-confidence, high level of energy, enthusiasm, and motivation through actions
Strive to improve self, others, and overall practices and procedures
Creative problem-solving skills
You must be able to handle stressful situations with high levels of empathy and understanding for clients and staff
Willingness to be flexible with tasks and assignments, pitching in as needed to meet the needs of the business
The schedule is Tuesday-Saturday
Tuesday - Friday : 11 : 00 AM ET - 7 : 00 PM ET
Saturdays : 9 : 00 AM ET - 5 : 00 PM ET
Sunday / Monday OFF
Must be able to work on select holidays

Compensation : $60,000-80,000 dependent upon experience
