Carnivore's all-meat freeze-dried products are safe, convenient, and shelf-stable, making them ideal for traveling, training, snacking and everyday feeding, making the segment one of the fastest growing areas within pet food today.

Carnivore’s products are sold under its flagship Vital Essential® brand. Vital Essentials® is distributed in over 7,200 retailers today in the Independent Pet channel, and in 14 international markets.

Vital Essentials® is one of the fastest growing brands in the pet food industry.

Carnivore manufactures 100% of its products at its own facilities, leveraging a unique and best-in-class supply chain approach and relationships to ensure that most ingredients are frozen immediately after harvesting to lock in freshness and nutrients.

The ingredients are then processed at Carnivore’s own facilities and dried using proprietary freeze dry equipment and technology.

Carnivore employs 201 associates and will be opening a new 235,000 square foot headquarters and manufacturing facility in Green Bay this summer.

The new 28-acre campus will become Carnivore’s Global Headquarters and provide capacity to support its growth over the next 3-5 years.

PURPOSE :

The purpose of this part-time Administrative Assistant role is to provide exceptional support to the CEO by efficiently managing a range of administrative tasks, coordinating meetings and events, and ensuring seamless daily operations.

This role is vital in fostering a well-organized and welcoming office environment. By meticulously handling logistical details and adding a personal touch, the Administrative Assistant’s work will create a positive experience for all stakeholders and allow the CEO to focus on strategic priorities and drive the organization's success.

KEY RESPONSIBILITIES :

Meeting Coordination

  • Schedule and manage the CEO’s calendar, including setting up meetings and preparing agendas.
  • Coordinate logistics for meetings, including room bookings, audio / visual setup, and ensuring all necessary materials are prepared.
  • Order meals and catering as needed for meetings and events.

Administrative Support

  • Act as the main point of contact for the CEO and her guests as needed.
  • Provide general administrative support including answering phones, managing emails, and handling correspondence.
  • Order office supplies and ensure the office environment is well-stocked and organized.
  • Assist with the preparation and distribution of board materials.
  • Research and secure the best deals on hotels and travel arrangements for the CEO, team members and guests.

Event Coordination

  • Plan and execute company events ensuring all details are meticulously managed.
  • Handle event logistics, vendor relationships, and attendee communications.

Other Duties

  • Assist with special projects and perform other duties as assigned.
  • Report issues with regards to the food safety / quality assurance system (FSQA) to Leadership and adhere to the requirements of the FSQA standards.

  • Reports to : HR Manager
  • With direction from : CEO
  • Peers : HR Coordinator, Sales & Marketing Coordinator

LOCATION : Green Bay, WI

EMPLOYMENT TYPE : Part-time, up to 20 hours / week (more depending on meeting schedule)

Requirements : QUALIFICATIONS :

QUALIFICATIONS :

  • Previous experience as an administrative assistant, event coordinator, or in a similar role.
  • Exceptional organizational skills and attention to detail.
  • Strong interpersonal and communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Must have computer skills, including proficiency with Microsoft and Gsuite applications (i.e., Word, PowerPoint, Excel, Gmail, etc.

and other relevant software.

  • A proactive approach to problem-solving with strong decision-making skills.
  • A positive attitude and the ability to work well both independently and as part of a team.
  • Experience with data entry and ERP systems required.

Preferred Qualifications :

  • A love for pets and a genuine interest in supporting a pet and people-loving CEO.
  • Detail oriented, able to navigate conflicting priorities, a proactive planner, and highly communicative with strong people skills.
  • Experience in event coordination, excellent communication skills, and a proactive attitude.
  • Experience in a similar role within a fast-paced environment.
  • Creative flair and a passion for adding a personal touch to tasks and projects.
