The Executive Assistant to the VP & Publisher coordinates all activities of the VP & Publisher's office. This role is detail-oriented;
it requires an ability to see, run, and improve multiple house-wide processes.
Essential Functions

Maintain Moody Publishers' (MP) corporate schedule, including all recurring house and standing team meetings, special events (e.
g., quarterly celebrations, anniversaries), author visits and events, holidays, planned employee vacations, etc.
- Develop, gather, and maintain all information, reports, and files to maximize the efficiency of the Vice-President and Publisher's office, including : Quarterly Board Reports, Annual Reports, Annual Insurance and risk assessments, post-publication analysis forms, etc.
- Prepare and maintain all regular house communications : MP Weekly Update, employee org chart, directory, employee surveys to invite feedback from MP team on various topics, MP Teams page, meeting notices and ballots, etc.
- Maintain author relations records and attendant duties associated with contracts and title management system (advance payments, etc.
respond to author royalty questions, Author monthly reports; AE Author Advance Reports; Assignment of royalty process for living or deceased authors
- File maintenance : keeping digital and physical files updated; OP files scanned to network; House reports and files clearly named and accessible on the network
- Serve as liaison and guide to other areas of MBI, and also to industry partners (e.g., ECPA / AAP / BISG), including payment of annual dues, Award applications, etc.
- Research topics and themes of importance to key decision-makers across the House
- Generate letters / rejections for manuscript proposals on behalf of MP; process notices of OP, return of rights, contracts, amendments, endorsements, etc.
- Perform general clerical duties : ordering and maintaining office supplies and equipment; arranging catered lunches and snacks for meetings, scheduling meeting rooms;
ordering gifts, cards, flowers; archiving books. Maintenance of office, dock area, MP van keys, IPass, scheduling and maintenance.
Perform other related and special duties as assigned.

- Outstanding computer skills - Microsoft Office, Global, STREAM, and others.
- Authorized to work in the US legally without sponsorship.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
This is a full-time position : Monday through Friday Hours, typically 8 : 00 a.m. to 4 : 30 p.m. This is a hybrid position in which the team member will be expected to work on the Chicago campus each Tuesday and Thursday as well other days of the week, as needed.
