Job Description
The Administrative Associate IV, under the direction of the Business Administrator for the Vice President of Finance & Administration (VPFA), will assist in the overall administrative duties of Finance & Administration.
This position operates under general supervision and provides advanced administrative support work.
Essential Duties and Responsibilities :
Handles highly sensitive and confidential information, reports, and correspondence.
Provides skilled administrative assistance through the performance of advanced and complex tasks.
Serves as a point of contact for A&M-Central Texas faculty, staff, and administration on general Finance and Administration matters.
Assists in the production of documents and proofing of final documents prepared for the appropriate signature or distribution.
Greets, answer, and screen telephone calls and visitors.
May attend various meetings in order to prepare and distribute minutes.
Participate in selected events.
Provides clerical and administrative assistance to the Finance & Administration office staff.
May provide additional administrative support to several Finance & Administration departments.
Performs general office duties such as ordering and maintaining office supplies.
Prepare correspondence, reports, mail preparation, copying, distribution, routing documents for signature.
Mail retrieval.
Assist with filing and retrieving documents, records, or reports.
Maintains and files records, documentation, and other documents for records retention.
Assists with Inventory Control.
Assist, collect, and compile materials for several Finance & Administration departments.
Assist in coordination of special events, speakers, guests as assigned.
Prepares. reviews travel requests, expense reports for accuracy and ensures compliance with all university financial rules and procedures.
Manages purchasing requirement for the department which includes paying invoices.
Manage payment card expenses and report reconciliation and ensures compliance with all university financial rules and procedures.
Manages funds in support of the university and department mission.

Minimum Requirements :
High school diploma or equivalent combination of education and experience.
Four years or related experience.
Knowledge, Skills, and Abilities :
Knowledge of word processing, spreadsheet, and database applications.
Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Strong organizational skills.
Ability to work with sensitive information and maintain confidentiality.

Wage : $15.00 / hour
Hours : Work flexible hours / days within the Monday-Friday work week, preferably mid-day hours.
Work Location : This is not a remote position. The selected candidate will be required to work on campus.
