The Administrative Assistant will provide support as part of our site-based Bedford Facilities Team. This person will act as the gatekeeper for our corporate headquarters and will greet new visitors, ensure that each visitor is checked into the Lantheus badging / security platform, and contact the internal Lantheus employee to escort the visitor.
In addition, this role will support the Office Manager by executing administrative tasks related to receiving package deliveries, managing office supply levels, and providing support for the cleaning, food, and beverage vendors.
Communication with Lantheus on-site management and with landlord property manager will also be required. Key Responsibilities / Essential Functions
- Greet and check-in all visitors into the Lantheus visitor management system. Manage the first impression of the company so that we are perceived as competent and professional.
- Manage all office operational interdependencies and functions, including : badging and security access, vendor provided support services, mail / package delivery and receipt, phone calls, and emails.
- Work with vendor to maintain proper operation of all printers including back up supplies of toner and paper, scheduling of service, and coordination with internal IT support as needed.
- Provide assistance to functional group Administrative Assistants as needed for on-site meetings, events, and activities.
- Serve as a liaison with our property management vendor and working with building personnel using both internal and external resources to expedite workflow.
- Participate in and provide data for the analysis of building use and occupancy metrics to assist in determining current and future demands for office space.
- Coordinate activities throughout the building to ensure efficiency and maintain compliance with company policy.
- Support financial objectives for budgeting and expenses for the Bedford site including tracking of related credit card purchases.
- Create and maintain accurate databases and records for financial information, security-access, personnel, and other data.
- Track and replenish office supplies as necessary to avoid interruptions in standard front office activities.
Basic Qualifications
- 3+ years of experience in a related role.
- The candidate must have exceptional written and verbal communication, administrative, and organizational skills.
- S / he must also work independently on projects from start to finish with attention to details. Should also be able to work successfully in a dynamic atmosphere while managing a wide variety of professional and personal activities, in a confidential and discreet manner.
- Proficient Microsoft Office 365 skills.
- Familiarity with CMMS, CAFM systems, corporate security / badging systems, database tools is a plus.
