Job Description and Duties

The Office Technician (Typing) will be directed by the Pharmacy Services Manager in the Pharmacy at the Department of State Hospitals Atascadero (ASH).

The incumbent will be responsible for the following duties but not limited to :

  • Distribute monthly Medication Room Inspection reports hospital-wide.
  • Record and transcribe minutes of Pharmacy & Therapeutics Committee, Pharmacy Technician meetings, Pharmacist meetings, Antimicrobial Stewardship Committee, other Pharmacy meetings, and interdisciplinary meetings that fall under the leadership of Pharmacy.
  • Prepare / type documents as needed such as duty statements, proposals, budget reports, and policy and procedure updates.
  • Prepare meeting schedule for Pharmacy Conference Room.
  • Answer phones and record messages for Pharmacy Department.
  • Record staff sick calls on daily sign-in sheet.
  • Assist Pharmacy Management with verification of employee timekeeping documentation.
  • Create and maintain file systems, including retention of pharmacy records as required by law.
  • Evaluates usage pattern and procures Pharmacy supplies (including printer, office, dispensing, and drug storage supplies) to maintain appropriate inventory level.
  • Performs Pharmacy Department Non-drug procurements.
  • Performs Pharmacy Department drug procurements that do not fall under the contractual agreement with the prime vendor (vaccines and drug shortages).
  • Complete and process work orders.
  • Create staff sign-in sheets, review for accuracy.
  • Distribute 634 timesheets for staff timekeeping, collect and review for completeness, and submit to Personnel after supervisor signature.
  • Prepare and process security clearance forms for Pharmacy interns / vendors / visitors.
  • Order key sets for new staff members and students, maintain current key set list.
  • Act as department Training Coordinator to arrange and document orientation and training for all Pharmacy staff.
  • Create and maintain all related files.

1. BE LIST ELIGIBLE : Successfully complete the competitive State civil service exam pertaining to this classification at , OR

2. BE TRANSFER ELIGIBLE : Have current employment with the State of California in the same classification or in a classification that is comparable (employees who wish to be considered based on transfer eligibility must meet the minimum qualifications of the classification per DPA Rule 250), OR

3. BE REINSTATEMENT ELIGIBLE : Have obtained previous permanent employment with the State of California in the same classification or in a classification that is comparable.

MINIMUM QUALIFICATIONS : Either I : One year of experience in California state service performing clerical duties at a level of responsibility equivalent to that of an Office Assistant, Range B.

OR II Experience : Two years of experience in typing and clerical work. Academic education above the twelfth grade may be substituted for one year of the required general experience on the basis of either (a) one year of general education being equivalent to three months of experience;

or (b) one year of education of a business or commercial nature being equivalent to six months of experience. Students who are enrolled in the last semester or its equivalent of course work, which upon completion will fulfill these requirements, will be admitted to the examination, but they must submit evidence of completion before they can be considered for appointment.

If it is determined that an applicant does not meet the minimum qualifications, the applicant’s name may be removed from the eligibility list.

Working Conditions

This position requires you to work within the Secured Treatment Area (STA).

Special Requirements

The position(s) require(s) the ability to type at a minimum speed as designated on the Class Specifications (link available in the additional documentation section).

You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired.

Candidates that believe they meet the Minimum Qualifications based on a pattern of education from the classification description (specifications) must provide a copy of your unofficial college transcripts, that include date degree conferred, if applicable, along with your application (STD.

678) to be considered for this position. Higher degrees cannot be accepted without evidence of the lower degree that leads to it.

Please note : foreign transcripts must include a verification for US equivalency through an independent company. You MUST submit a valid typing certificate with a minimum speed of 40 WPM that meets .

Typing tests for certification must be 5 minutes in length and proctored either virtually or in person. Candidates that are current State employees in a typing classification DO NOT need to submit a typing certificate.

If using Out of Class (OOC) experience to meet minimum qualifications, you MUST provide a copy of the approved OOC Completion Memorandum certifying your OOC experience.

Failure to submit the required documents will result in the OOC experience not being applied towards meeting the minimum qualifications of the classification.
