Association’s Mission : California Primary Care Association's mission is to lead and position community clinics, health centers and networks through advocacy, education, and services as key players in the healthcare delivery system to improve the health status of their communities.
Purpose of Position : The Senior Event Coordinator is responsible for providing a high level of project and logistics management for the organization and for coordinating and supporting the organization’s internal and external-facing events.
Working closely with the Deputy Director of Events & Continuing Education, the Senior Event Coordinator is responsible for the planning, development, and implementation of CPCA events.
Primary Responsibilities : Managing the event logistics and planning of CPCA’s staff events, quarterly Board of Directors meetings, retreats, receptions, annual Day at the Capitol event, and CPCA conferences.
Serve as the primary point of contact for event venues, A / V, entertainment, and vendors including the processing of contracts, invoices, and deposits in a timely manner.
Oversee event Call for Proposals processes, including but not limited to, working to ensure timely and high-quality submissions, responding to speaker inquiries and providing solutions to issues, and communicating all speaker logistics, deadlines, and requirements related to CPCA events.
Responsible for meeting and event registration, catering, transportation, tracking hotel room block requests, speaker reimbursements, and engaging with speakers and staff where necessary to achieve event deliverables on a timeline.
Responsible for CPCA event management, including staffing assignments and packets, internal and external communication coordination, direct Run of Show, and serve as primary contact onsite for all vendors.
Develop, monitor, and control event budgets in collaboration with supervisor and organizational budget. Manage event communications.
Work closely with marketing team to ensure event targets are met or exceeded. Manage event websites & app. Support the Training Team by securing appropriate venues for in-person trainings, including contract negotiations for meeting room space, hotel room blocks, food and beverage order, and audio-visual equipment.
Track expenses to comply with budget allocation. Track special requests, dietary needs, and other attendee and speaker details to ensure positive experiences for all in-person events.
Purchase swag, attendee incentives, and giveaways for CPCA events. Work with CPCA’s CEO and People Operations team to produce staff appreciation events twice a year.
Skills and Abilities Required : 1. Proficient in project or program management. Solid attention to detail, time management, problem solving and organizational skills.
Strong interpersonal and professional ability when engaging with vendors and partners. Excellent written and verbal communication skills.
Strong proficiency with Microsoft Office and web-based software and applications. Manage multiple projects, plan strategically, and adapt to frequent change in a fast-paced environment.
Implement, organize, and evaluate programs and projects. Maintain a helpful attitude and collaborate with multi-departmental teams.
Additional Responsibilities : Support the association’s vision of being an antiracist organization. Respond promptly and thoroughly to member inquires.
Attends and participates in required Association meetings. High levels of interaction with association members, vendors, and strategic partners.
Travel for national and regional meetings, trainings and site visits by air and ground transportation. Reports regularly to supervisor.
Other duties as assigned. Education and Experience : Bachelor’s degree required. Minimum two years of event and / or project management experience.
Experience with community health centers, member-driven associations or non-profit organizations is also preferred. Relevant experience may be considered in lieu of degree requirement.
Association Expectation : Due to network security and hybrid work, this position requires the employee to have a cell phone with a data plan and home internet service, both are reimbursed at a set rate each month.
All hires are required to maintain residence in California. This is a hybrid position with employees coming into the office in downtown Sacramento.
Travel is required. Compensation : $76,583 - $81,088 Total Rewards : CPCA offers a comprehensive total rewards package that includes hybrid work schedule, employer paid medical, dental, vision, life, and AD&D insurance for employees.
