Ultimate Staffing is seeking an Office Manager to join a client in Fremont. This is a temp-to-hire role or potentially direct hire.
Hours are Monday - Friday 8 : 00 am - 5 : 00 pm. The position is 100% onsite.
Responsibilities :
- Oversee and support all office administration duties, ensuring smooth daily operations
- Manage office supplies and breakroom inventory, placing orders as needed for corporate headquarters and other offices.
- Plan and execute office layout improvements, equipment procurement, and facilities management to maintain office efficiency.
- Collaborate with HR to develop and implement office policies, creating procedures and standards to guide office operations.
- Act as front desk support, greeting visitors and managing inquiries.
- Manage the in-house mini-market, including placing orders, managing inventory, and handling reporting.
- Handle employee travel bookings and maintain organized travel itineraries.
- Track and manage HR spend, preparing periodic financial reports.
- Manage incoming and outgoing mail, as well as FedEx / UPS shipments.
- Assist with onboarding new hires, ensuring a smooth orientation process.
- Prioritize tasks, manage deadlines, and ensure follow-through on projects under pressure.
Qualifications :
- Bachelor's degree in Business Administration or a related field is preferred.
- 3+ years of experience in office management or administrative roles.
- Strong knowledge of office management responsibilities, systems, and procedures.
- Exceptional attention to detail and strong organizational skills.
- Ability to prioritize and manage time efficiently in a dynamic environment.
- Self-motivated, proactive, and able to work independently.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office and Google Workspace products.
