About the Role
As Executive Assistant you will support Nicholas Pardon, Founder of Pardon and Founder & CEO of Optimism, and his executive team - Pardon's Managing Director and Head of Finance.
You will support the executive operations of Pardon Ventures, managing Nicholas' calendar and dynamic schedule, coordinating travel and logistics, planning events, taking notes, and supporting executive level communications across the organization, including liaising with Pardon and Optimism team members, and reporting back to Nicholas.
You are reliable, resourceful, proactive, positive, organized, detail-oriented, adaptable, curious, and creative. Must be able to work under pressure in a fast paced and dynamic environment and handle confidential matters with discretion.
Outstanding verbal and written communication skills are critical.
Accountabilities
- Calendaring & schedule-making; creating agendas.
- Pre-meeting research and briefs for the Executive team members.
- Note-taking and synthesis in meetings.
- Liaising with Pardon and Optimism team members, taking memos, and reporting back needs to Nicholas.
- Sending reminders when needed.
- Hosting and facilitating meetings on Nicholas' behalf.
- Staying up to date on key relationships and drafting personal correspondence and communications for Nicholas.
- Travel booking & logistics.
- Creating and managing travel itineraries.
- Occasionally traveling with the Nicholas and the Pardon team.
- Ensuring that all action items requiring follow-up have been assigned to the right team member with a deadline.
- Managing CRM contacts on communications flows that you touch, i.e. making sure all key correspondence is logged in our CRM.
- Drafting and facilitating internal communications.
- Help produce and message internal cultural initiatives, working alongside the People & Culture team.
- Supporting event planning & special projects.
- Planning dinners, social events and preparation for public appearances.
- Sourcing and sending gifts for hospitality, key relationships, and team members at Nicholas' request.
Qualifications
- Are highly organized and innately curious, with an entrepreneurial spirit.
- Adept at digital tools - calendaring, emails, various tools (Google Docs, Notion, Figma, etc) - and easily able to assess, select, and learn new tools when needed.
- Have outstanding written communications skills - an effortless ability to write concisely and precisely.
- Are able to "multi-track" on a daily basis, i.e. creating docs, sending emails, and doing bits of research in between zoom calls and meetings, for large portions of each day 4-5 days a week.
- Are motivated to support and learn from executives building a portfolio of holdings in values-driven ventures and businesses.
- Have an eye for detail, a commitment to excellence, and a high bar for your work and the work of your colleagues.
- Have a passion for the arts, a taste for luxury, or a preference for beautiful aesthetics.
$75,000 - $100,000 a year
