Program Manager - Learning Solutions

We are looking for a Program Manager with experience working in a fast-paced, global team as well as delivering a variety of projects successfully.

This role includes balancing all aspects of project delivery (scoping, resourcing, quality assurance, timelines and budget) while ensuring clear communication across the project team, account teams, consultants, and clients.

You will report to the Project Management Team Lead and work closely with the Content, Design and Development Team and Account Management Team to develop and execute a clear project plan that meets a client brief.

You will enjoy working within a challenging, global environment and will adapt your skills in any given moment to ensure excellent and smooth delivery of tasks assigned.

You will enjoy producing highly accurate, error-free work that is of a high standard, and will be transparent and clear in all your interactions.

You will be a true team player - taking accountability for a project whilst ensuring each stakeholder involved is clear on their responsibilities and perform their tasks to deadline.

Key responsibilities

  • Manage a diverse portfolio of global multi-client projects, varying in size, complexity, and deliverables. Primary focus is on managing Learning and Development events, eLearning products, and L&D strategy projects.
  • You will be comfortable being the expert in the room from an operational perspective and confident leading multi skilled, global teams through all stages of the project lifecycle.
  • Create detailed and considered project plans using established templates and tools, ensuring key meetings are scheduled and delivered correctly with clear notes shared and actions followed up on.
  • Manage and maintain project plans, project trackers, finance systems, and ensure project-related operational tasks are performed consistently and with accuracy.
  • Ensure projects are kept on the right path and consider all eventualities by putting contingency plans in place and manage risks accordingly.

Ensure projects are financially aware, have the most appropriate resource aligned, and deadlines are met. Ensure all deliverables are delivered in line with the approved statement of work and to an exceptional standard.

  • Ensure all project stakeholders are clear on their roles & responsibilities and take accountability for ensuring that all tasks are completed on time, within budget and to a high standard.
  • Communicate and present project information and updates to all levels of stakeholders. Build strong relationships with all internal and external stakeholders of all levels and help other team members to do the same.

Lead thorough, yet efficient, project planning and briefing meetings.

  • Partner with the business development team to create client proposals and contribute to the delivery of pitches / RFPs.
  • Create and manage complex budgets, ensuring projects do not exceed the allocated budget. Liaise proactively with the Account Management and Finance team to ensure the project financials are accurate and up to date on all internal systems.
  • Proactively collaborate with account teams and clients to identify new opportunities.
  • You will enjoy relationship building and client conversations in equal measure to creating spreadsheets, data entry, and tracking task statuses.

Essential Skills, Knowledge and Experience

  • 5+ years' experience in project management / event management ideally in a learning and development environment.
  • Experience in working in an agency environment desirable.
  • Experience in working in a pharmaceutical environment desirable.
  • PMP qualification or equivalent preferred but not required. (US Only)
  • Exceptional planning, prioritization, and organizational skills. Takes pride in work and has impeccable attention to detail.
  • Effective Communication : Strong written and verbal communication skills with ability to build lasting relationships with internal and external stakeholders and confident in presenting to project teams and clients.
  • Self-Starter : Proactive attitude, takes ownership over projects, enjoys responsibility and accountability.
  • Experience in using project management and ERP systems (Smartsheet, Workday, Microsoft project).
  • Flexibility : Willingness to work flexibly to fulfil client requirements.
  • Proficient in the use of Microsoft Office packages, especially Outlook, Word, Excel and PowerPoint.
  • Financial systems, spreadsheets, data entry, and project planning comes naturally to you, and you use them to track progress, and to flag and mitigate risks, whilst always looking to put in place ways of working that improve delivery and efficiency.
  • Strong financial acumen : Able to create, monitor and reconcile detailed budgets.
