Executive Assistant to the Executive Vice President of CFS, PRO
Educational Requirements
Bachelor’s degree in business or related field preferred.
Work Experience
At least seven years of work experience in an office environment, demonstrating progressive experience supporting executive-level staff.
Supervisory Experience
Direct oversight and responsibility of at least one staff position preferred.

Qualifications
- Enthusiastic, well-organized individual with superior communication skills to provide support to the Philadelphia Regional Office;
- Committed to child welfare and social services; Must be able to type a minimum of 65 wpm; Must be proficient in Microsoft Office Suite (including Word, Excel, Publisher, and PowerPoint);
Must have excellent verbal and written communication skills; Must be able to work independently and within a team; Confidentiality is a must.
Responsibilities
Serve as the administrative support for the Philadelphia Regional Office Executive Vice President by screening incoming calls and managing appointments;
arranging luncheons and coordinating special events, as needed. Making travel arrangements including lodging, meals, and transportation.
Typing correspondence including proposals and highly confidential materials. Coordinating meetings, receiving and distributing mail, screening visitors, creating visual presentations, taking minutes, and ordering supplies.
May serve as project manager for special projects, which may include planning and coordinating events. Work collaboratively with other Executive Assistants, VPs, and other agency staff;
and may serve as backup to other Executive Assistants, as needed.
Duties include but are not limited to :
- Organizing meetings with county and agency partners
- Researching potential agency partnerships / grants
- Writing reports and compiling data provided by leaders
- Taking meeting minutes / notes
- Scheduling and arranging travel for agency staff
- Managing and conducting follow up with regard to the PRO Project Management Chart
- Arranging and overseeing schedules / availability of leadership
- Ordering Supplies for the agency / regional office
- Management of the Out of Office Calendar
- Supporting File Compliance for the Philadelphia Office
- Operating as the System Administrator for Extended Reach, DHS Connect, etc.
- Compliance and audit prep assistance inclusive of COVID matters and communication
- Maintaining up-to-date compliance posters / literature for the office and filing of the annual licenses and renewals
- Assist with staff follow-up in personnel matters such as no-call, no-shows as needed
- Other duties as assigned.

- Current Act 33 and Act 34 Clearances
- Registered and insured vehicle
- Certificate of Insurance of vehicle
- Valid Pennsylvania Driver’s License
- Ability to work a flexible schedule, including evenings and weekends, as needed
