Amherst Management Assistant II

Performs routine clerical and administrative work in the Department of Public Works administrative office, which includes answering inquiries and providing customer assistance, data processing and preparing reports, and processing payments.

Major duties include :

  • Answers in-coming calls and routes callers or provides information as required
  • Documents sewer calls (sewer call write-ups) and transmits information
  • Receives the public; answers questions from citizens, employees, and others; refers inquiries to appropriate persons as necessary
  • Composes, types, and edits a variety of correspondence, memoranda, and other material
  • Inputs data into standard office forms; prints work order as requested
  • Compiles data for various state and federal reports, including the annual DEPC Report, the Tier II Reports for chemical inventory and wells, the Annual Statistical Report, and the annual Consumer Confidence Report
  • Processes checks and credit cards in online permitting system; processes final water readings, including gathering information from attorneys, coordinating with water staff to obtain a reading on the account, and coordinating with the Collector's Office around information input
  • Makes simple postings to accounts; processes sewer billing
  • Submits insurance claims related to accidents and Worker's Compensation
  • Update and post to Department webpage as needed; assists with drafting, editing, updating, and posting press releases and announcements
  • Act as backup for Department administrative functions such as payroll and turnovers, including tabulating and coding payments
  • Performs other duties as assigned

Minimum qualifications : High School degree or equivalent plus 1-3 years of related experience; OR any equivalent combination of related education and experience. Working knowledge of computers and electronic data processing; working knowledge of modern office practices and procedures. Some knowledge of accounting principles and practices. Skill in operation of listed tools and equipment. Skill in customer service; ability to communicate effectively verbally and in writing.
