This position will report to our corporate office in Austin, Texas.

How you will contribute in this role :

  • Effectively manage and prioritize complex calendars for the four C-level executives, ensuring they are well-prepared for meetings, appointments, and travel arrangements.
  • Arrange domestic and international travel, including flights, accommodations, transportation, and itineraries.
  • Act as the primary point of contact for internal and external stakeholders, handling inquiries and requests with professionalism and discretion.
  • Screen and manage email correspondence and phone calls, ensuring that urgent matters are promptly addressed.
  • Draft or prepare letters, memos, agendas, materials, and presentations for meetings, including board meetings, executive meetings, and conferences.
  • Record meeting minutes and follow up on action items as required.
  • Maintain and organize confidential documents, reports, and files, ensuring accessibility and confidentiality.
  • Track and reconcile executive expenses, prepare expense reports, and ensure compliance with company policies.
  • Handle sensitive information with utmost discretion and maintain the highest level of confidentiality.
  • Receives incoming communication or memos on behalf of our executive team, reviews contents, determines importance, and summarizes and / or distributes contents to appropriate staff.
  • Provides clerical support when needed, such as answering phones, sort and distribute mail, ordering supplies, greeting visitors, and preparing documents.

Facilitates maintenance of office equipment as needed.

Qualifications and Requirements :

  • years’ experience as an executive assistant supporting C-level executives in a public company
  • High school diploma required; Bachelor’s degree in Business Administration or related field preferred
  • Ability to work in our downtown Austin, TX office % of the time from : am : pm.
  • Previous experience in managing executive personalities with polish and grace.
  • Ability to maintain a high level of confidentiality & discretion, and always exhibit professionalism.
  • Skilled in being proactive, seeing around the corners, anticipate and being prepared for next steps.
  • Experience running webinars for large groups.
  • Previous experience communicating with a Board of Directors.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type minimum of words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Specifically, expert PowerPoint skills required.

  • Polished verbal and written communication skills. Knowing how to ask the right questions.
  • High degree of emotional intelligence and interpersonal and skills.
  • Exceptional organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines. Ability to function well in a high-paced and at times stressful environment.
