Executive Assistant

A boutique well established marketing / public relations agency based in Charlestown, Boston with a strong client history, collaborative entrepreneurial culture, is seeking an articulate, bright, mature, responsible, dedicated, organized self-starter to serve as a Personal Assistant to support CEO.

Highly competent, detailed oriented, a positive attitude, cheerful friendly personality and a self-starter are MUSTS! Must also be able to multi-tasker and a team player who is willing to take initiative beyond the written job description.

This role encompasses many different functions including providing administrative support for the President & CEO, coordinating her scheduling and logistics, facilitating positive client relationships, data maintenance, event planning, and general support for the organization.

Responsibilities include :

Managing CEO’s schedule and logistics; handling correspondence including letters, emails; screening phone calls; office management / receptionist duties : include handling the phones;

sending out client invoices and status reports and making mobile bank deposits. Support the team when time permits on projects and doing writing and research.

  • Maintain and oversee the calendar for the President & CEO, including meetings with both internal and external parties. Manage travel arrangements, including transportation and accommodation arrangements, and coordinate all other meeting-related logistics.
  • Assume pro-active role in increasing the productivity, efficiency and organization of the office.
  • Prepare the President & CEO for meetings by gathering necessary information and preparing briefing packages.
  • Support all the required follow-up from meetings and conversations.
  • Anticipate and support the needs of the President & CEO.
  • Coordinate and execute activities such as dinners, holiday card mailings, customer satisfaction surveys, and company outings.
  • Assist in the organization and coordination of new business activities.

Writing Skills a Must with focus on attention to details

Technology

Must be proficient in Word, PowerPoint, Canva, Constant Contact (or other email marketing programs)

Social Media knowledge and exceptional judgement on posts

HootSuite, YouTube, LinkedIn, Facebook, Twitter, Instagram

Excellent Oral communication skills

Talking on the phone to prospects, clients, media and colleagues a must.
