Administrative Coordinator For Acute Care Trauma Surgery Division

The Department of Surgery is seeking a highly motivated Administrative Coordinator to support the Acute Care Trauma Surgery Division. This position will serve as the primary administrative assistant to the Division Chief, providing high-level administrative and clerical support. The coordinator will also assist multiple Acute Care Trauma Surgery subdivisions, including faculty and Advanced Practice Providers. Responsibilities include :

  • Providing day-to-day administrative support to the Division Chief and Acute Care Trauma Surgery providers
  • Managing calendar scheduling, coordinating meetings, conferences, and travel arrangements
  • Supporting providers with national organizations and committees
  • Processing expense reports and handling purchasing activities
  • Screening incoming calls and visitors in a professional manner
  • Assisting with faculty interviews and onboarding of new faculty
  • Managing confidential information with discretion
  • Monitoring and responding to emails and electronic faxes as directed
  • Processing faculty Curriculum Vitae (CV)

Education Requirements :

High School diploma or GED

Licensure / Certification Requirements :

No licensure or certification required.

Professional Experience Requirements :

Three (3) years of clerical or administrative experience.

If Bachelor's degree, one (1) year of clerical or administrative experience.

If Associate's degree, two (2) years of clerical or administrative experience.

Knowledge / Skills / and Abilities Requirements :

Exceptional organizational skills and attention to detail

Strong verbal and written communication abilities

Demonstrated customer service orientation

Ability to manage multiple tasks and prioritize effectively

Capable of working independently and meeting deadlines

Experience in project management

Background in professional writing and editing preferred
