POSITION RESPONSIBILITIES :

The Senior Grants & Contracts Analyst is responsible for reviewing and approving incoming grants and contracts awarded to the College, effectively managing large and complex contracts that are crucial to the organization with minimal oversight.

They set up new and continuing awards in the ERP financial system and communicate with the Grants Manager to report, discuss, and resolve issues while identifying and implementing projects.

Additionally, the Analyst educates the research community on sponsored program regulations as required by the OMB Uniform Guidance and ensures compliance with Albert Einstein College of Medicine’s policies and procedures.

This involves, but is not limited to, the following responsibilities :

Set up all federal, state, foundation and association grants and contracts, including entering budgets in the Banner and Cayuse software which includes :

Grant demographic information

Project period and budget period dates

Annual grant budgets

Events and financial report due dates to enhance billing and financial reporting.

Identify contractual and policy issues such as compliance, conflicts of interest and accounting, raise issues to appropriate college officials, and provide follow through until resolved.

Review and interpret award documents to ensure compliance with sponsor terms and conditions.

Facilitate interactions with other college research administration offices; advanced communication skills to communicate information clearly and effectively to internal and external audiences, client groups and all levels of management.

Frequently makes independent decisions based on analysis, experience, and judgment.

Builds cooperation with internal parties to accomplish organization goals.

Communicate with the Grants Manager to report, discuss and resolve issues.

Review and coordinate revisions and execution of contracts.

Review sponsor guidelines for restrictions and budget categories that are unallowable or limited.

Alerts Principal Investigator and Administrator of new and continuing funds establishment.

Responsible for alerting Montefiore Medical Center (MMC) if budget includes Montefiore salary / fringe.

Responsible for alerting colleagues within the Award Set-up team if Subcontract budgets are included to ensure timely Purchase Order set up.

Review budgets to ensure it matches the award amounts and sponsor guidelines.

Ensure proper fringe benefit and facilities and administration (F&A) rates are correct.

Ensure Institutional Review Board (IRB) and IACUC (Institutional Animal Care and Use Committee) protocols are compliant by :

Following-up with Department Administrators monthly on missing IRB information such as Protocol # and dates by emailing so that Human Subjects can be charged.

The ERP system is updated once information is received.

Extend funds in EPR for journal vouchers (JVs) and refunds to be processed.

Perform ERP system testing and cross-train train team on ERP system upgrades.

Assist in providing Uniform Guidance Audit requests for collection of Notice of Awards (NOAs).

Track Continuing Resolution and update when funds are received.

Maintain Training guide on award setup and procedures.

Special Projects as needed.

Bachelor’s Degree and 3+ years prior related work experience required

Supervisory experience a plus

Ability to meet timelines and provide Senior Management with reports

Strong Familiarity with Sponsored Research Financial Regulations, such as; OMB Uniform Guidance, FAR and NIH Grants Policy Statement

Familiarity with ERP system, Cayuse or other proposal software system used by Higher Education Institutions a plus

Must have knowledge of ERP system Systems or similar ERP system

Must be proficient in Excel and all MS Office Applications & Internet Usage, Project / Outlook

Minimum Salary Range :

USD $81,000.00 / Yr.

Maximum Salary Range :

USD $90,000.00 / Yr.

About Us :

The Research Finance (RF) department at Albert Einstein College of Medicine is responsible for monitoring all Sponsored Funds activity.

The Department assists with establishing fund numbers in our Enterprise Research Planning (ERP) system financial system.

We monitor and report expenditures to our sponsoring agency as indicated in the agreement documentation. Effort certifications are coordinated and tracked in our office and as well as other compliance areas such as cost transfers, unallowable costs, subrecipient monitoring, closing out of sponsored grants, etc.
