Purpose

The Assistant Director of Admissions for the leads undergraduate music admissions, recruitment, and enrollment planning and coordinates with the Butler School of Music Graduate Admissions to lead overall recruitment and admissions efforts for the School.

The position reports to the College of Fine Arts (COFA) Director of Admissions and Scholarships and works closely with other college admissions personnel in addition to the faculty, staff, and leadership in the Butler School of Music.

Responsibilities

Admissions Processing and Review Management . Collaborate with Butler School of Music stakeholders and COFA Director of Admissions to develop and coordinate music admission requirements and procedures for first-time-in-college, external transfer and internal transfer applicants.

Process applications and proactively identify and address challenges students may experience. Coordinate application review, decision, and appeal processes with faculty reviewers, the COFA Director of Admissions, and Office of Admissions.

Work with Student Awards Committee and Music Scholarships Coordinator to identify incoming students for scholarship awarding.

Event Coordination. Plan and facilitate music auditions in collaboration with faculty and Graduate Admissions Coordinator.

  • Develop and coordinate prospective and admitted student visits and events. Determine appropriate audience, schedule, agenda and venue;
  • secure space and arrange for A / V and custodial support; coordinate event-related marketing, communications and registration;

coordinate participation of faculty, students and staff; monitor projected and actual expenditures in accordance with budget allocation.

Student Recruitment. Engage with prospective music students via email, phone, and individual meetings. Conduct presentations and tours pertaining to the Butler School of Music and the College of Fine Arts.

Implement communications strategy to encourage and support prospective students through each stage of the enrollment process using web, email, social media, and printed materials.

Share information to facilitate faculty outreach. Utilize client-relationship-management (CRM) database to plan and manage engagement with prospective students.

Travel to implement recruitment strategy.

Enrollment Management. Lead undergraduate enrollment planning for the Butler School of Music (BSOM) in collaboration with the BSOM Director, Graduate Admissions Coordinator and COFA Director of Admissions.

Track student cohorts to estimate graduation and attrition in consultation with faculty and undergraduate advisor. Ensure that the number of admission offers in each area is appropriate to the enrollment goal.

Create customized reports for leadership stakeholders and provide student data for accreditation.

College of Fine Arts Teamwork. Contribute as a member of the COFA Admissions Team, collaborating with and supporting colleagues and student ambassadors.

Assist with events hosted by the College of Fine Arts and Office of Admissions. Contribute to the development of the strategic recruitment plan and assess effectiveness of recruitment activities in shaping outcomes.

Ensure that all processes follow procedures established by the department, college and related campus units.

Discipline-specific, Institutional and Higher Education Knowledge . Maintain strong working knowledge about the Butler School of Music, College of Fine Arts, and University to serve as an expert resource for prospective students, families, and school and community-based organization (CBO) partners.

Seek out and attend training opportunities and conduct informal research related to university admissions, music admissions, and trends in higher education.

Help identify schools and CBOs with which the college may partner to advance strategic enrollment goals and student success.

Assist with cultivation of strategic partnerships.

Required Qualifications

Bachelor’s degree

3 or more years of experience in higher education administration and / or music / arts administration

Background in music and / or other fine arts

Demonstrated ability to administer and communicate best practices and policies

Preferred Qualifications

Master’s degree in music field

Experience working in college or university admissions, preferably related to music or other performing arts

Experience supervising professional staff

Bilingual in English and Spanish

Experience with UT Austin programs, policies, and procedures

Experience with client relationship databases

Experience in a fast-paced environment

Demonstrated ability to successfully build, nurture, and balance professional relationships to achieve tasks

Driving Required

This job requires a class "C" operator's driver's license. The applicant selected must provide a current three-year driving record from their current state of residence.

If not currently a Texas resident, a Texas driver's license must be obtained within 30 days of becoming a Texas resident.

Employees who are required to have a CDL are subject to drug and alcohol testing (pre-employment, post-accident, reasonable suspicion, random, return-to-duty, and follow-up drug and alcohol testing).

Salary Range

$65,000 - $75,000

Monday Friday, 8am 5pm with evening and weekend events. Includes travel for recruitment events.
