Job Title Administrative Assistant II - MSW Program Division Divison of Academic Affairs Department Dean Social Work Position Category Staff FLSA Non-Exempt Pay Range Salary Range $41,005 - $55,918 / year (with potential growth to $70,831) Fund Source State Support Job Summary The Administrative Assistant II will provide administrative and tactical support primarily to the Chair of the MSW Programs and the senior staff & faculty.
MSW Program is the largest program in the SSW. Job Duties The Administrative Assistant II will provide administrative and tactical support primarily to the Chair of the MSW Programs and the senior staff & faculty.
Duties & Responsibilities :
- Additionally, they will coordinate and implement an array of procedures each semester, including preparation of departmental course schedules (70+ courses per semester) and adjunct faculty contracts for on-campus and online programs.
- Create and maintain the student roster for on-campus and online MSW programs, and assist the MSW Chair with maintaining the advisor list
- Order textbooks for faculty; assist faculty course leaders with securing syllabi for part-time faculty
- Schedule and coordinate meetings and appointments; assemble background materials; attend meetings and prepare summary notes.
- Manage and respond to requests from the Dean, Assistant to the Dean, and executive staff
- With guidance from the Budget Officer, manage travel for MSW / OMSW / Student Affairs Faculty and Staff; keep records of all travel itinerary;
complete monthly purchase card resolution; gather and consolidate data for reports.
- Manage communication including updates to MSW faculty and staff, response to inquiries, information for students and updates regarding policy and procedures.
- Ensure confidentiality of information, maintain office continuity
- Maintain files and databases; exercise initiative in establishing and revising files to meet current needs and demands.
- Order supplies and equipment, monitor and update inventory, assist with department and school event planning and coordination.
- Coordinate with the SSW Technology Support Specialist in addressing technology issues and needs of students, faculty and staff.
- Maintain and update the calendar for the MSW Chair
- Performs other duties as assigned.
Requested Minimum Qualifications EDUCATION : High School Diploma or GED
EXPERIENCE : Three years secretarial experience
OTHER : Except for qualifications established by law, additional related experience and formal
education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
