JOB TITLE : Registrar
STATUS : Non-Exempt / Hourly
TYPE : On-Campus
REPORTS TO : Campus Director
PURPOSE
The Registrar is responsible for the maintenance and integrity of each individual student record that includes the admissions information, scheduling, attendance, grading, tuition payments, and counseling(s).
The individual in this role must create and maintain collaborative working relationships with campus leadership, faculty, and staff.
The Registrar supports Smith Chason College programs and policies as established by federal, state, administrative, and academic entities.
The Registrar also acts as a central communication resource for academic and policy information related to student records and management.
JOB RESPONSIBILITIES
- Maintain accurate, up-to date records of student academic and attendance performance
- Post final student grades, reports or awards on time as per school policy
- Actively participate in meetings and training programs as required
- Provide back-up for records and registration services, including registering students, issuing transcripts, answering phones, scanning, reporting grades and working special events
- Take photos of students and provide them with school identification
- Evaluate transfer credits
- Audit Proof of Graduation (high school diplomas, GEDs, home school documents, degrees)
- Create the master academic calendar and schedule with guidance from Compliance
- Create academic file for each student and keep up to date regularly
- Enroll students into the appropriate classes each quarter
- Provide student schedules
- Provide students with requested verification letters
- Follow HIPPA regulations
- Treat students with fairness, respect, impartiality, and objectivity
- Provide confidential guidance to all students that have outside factors that may interfere with their studies
- Maintains organized, complete and audit ready student files
- Ensure students meet graduation requirements
- Keep current on all programs offered and continually seek to enhance program / school knowledge
- Collaborate with other departments in a positive and productive manner to ensure a student-first environment
- Additional duties as assigned by Campus Director
EDUCATION / QUALIFICATIONS / COMPETENCIES
- Bachelor’s degree preferred
- Proven leader with business administration experience required
- Possess and demonstrate the following : a motivation, dedication, and enthusiasm for Smith Chason College programs; sensitivity to the needs and requirements of adult students;
the ability to encourage and support students to a high level of achievement and accurate attendance
- Capable of reading, writing, and speaking the English language clearly and understandably
- Character, personality, and proper social capability to relate effectively with staff, students, and community. Has the ability to work with a wide variety of community groups and organizations
- Demonstrated understanding of the application of technology to deliver Records and Registration services
- A positive attitude and ability to plan and adapt to change
- Strong interpersonal, oral, and written communication skills
- Strong technical skills including computer applications / programs, internet research, database management, and analytical skills
- The ability to quickly learn new software programs as needed
- Ability to prioritize, multi-task, perform well under pressure, and meet deadlines
- Non-negotiables include a positive attitude, the desire to help others, a self-driven nature, confident, and results-oriented
- Other necessary character traits include being a team player and having the ability to communicate effectively both verbally and written
- Always behave in a professional manner in way of appearance, demeanor, and attitude

- Must be able to remain in a stationary position for prolonged periods of time
- Can independently move objects up to 25 lbs.
- Sufficient hand, arm, and finger dexterity to operate a computer keyboard, other office machinery, and perform repetitive motions

- Must be able to occasionally function in activities that include walking, bending, squatting, and reaching
