Job Description :
The Administrative Assistant role entails providing support to a Senior Managing Director. The responsibilities include :
Managing calendars including scheduling internal and external appointments, confirming meetings, coordinating with other assistants
Manage global travel planning, scheduling and itineraries
Update and maintain travel spreadsheet and organize trip packets for travel
Oversee and plan weekly and monthly meetings
Assist with administrative assistance for Employee Relations team booking meetings, conference rooms and document management
Act as gatekeeper of Employee Relations conference room calendar
Liaise with other departments for scheduling and projects
Answering calls and acting as a gatekeeper
Booking conference rooms for internal and external meetings; meeting and greeting guests, registering guests in the visitor system
Completion of detailed corporate expenses including tracking receipts and reimbursements
Coordinating travel arrangements including flights, visas / passports, cars, hotels, and other reservations
Maintaining and organizing files
Monitoring and maintaining office equipment and inventory supplies for Employee Relations Team
Ad hoc projects
Qualifications :

Ability to build relationships with key players and management
Strong Microsoft Office skills (including PowerPoint, emphasis on Outlook and Excel)
Familiarity with Concur is preferred

Expected annual base salary range :
$70,000 - $130,000
Actual base salary within that range will be determined by several components including but not limited to the individual's experience, skills, qualifications and job location.
For roles located outside of the US, please disregard the posted salary bands as these roles will follow a separate compensation process based on local market comparables.
