Job Description :

The Professional Performance Division Office is seeking a Temporary Part-Time Office Coordinator to assist with general office operations and projects.

Tasks will include offering support to the Associate Dean of Professional Performance Division, and Chair of Performance Studies with daily calendar management including meeting requests, organization of meeting notes, creating agendas and note tasking at dept meetings led by Associate Dean as well as assisting the Associate Dean with the divisional academic program review project.

Tasks will include scheduling zoom meetings with department chairs to attend their weekly faculty meetings; tracking and proofreading submitted report segments from various internal writers and contributors, and organizing and updating written segments working toward the draft report order deadlines and ultimately the final version.

Processing Division Payments

Managing internal division e-forms

Managing e-signature platform

Creating student waivers, entering registrations, and communicating with faculty / students regarding this process

Processing class coverage forms and additional compensation for division faculty

Managing division guest artist requests and processing them in Workday

Coordinating and booking travel for guest artists, students, and faculty for college-related trips

Managing room reservation requests

Entering work orders

Directing walk-ins to the appropriate areas and answering general division questions

Other duties as assigned

This person will also work with the Interim Managing Director of the Global Jazz Institute / Assistant Chair of Ensemble Dept.

  • Tasks will include calendar and email management support with faculty, students, and internal and external constituencies;
  • scheduling appointments, organizing meeting requests; capturing class attendance, copying music or information to be distributed to classes;

offering support to visiting guest artists including managing room reservations and entering work orders, when needed.
