Position Summary
Under the direction of the SVP of Nursing and Clinical Services, the Clinical Administrative Assistant provides administrative support to the prenatal and subspecialties programs of the center.
Essential Functions, Duties and Responsibilities
- Provides administrative support to the Prenatal and Subspecialties programs as needed.
- Answers phone calls and directs calls to appropriate parties.
- Assist Clinical Team with projects, data collection, entry, analysis and reporting.
- Works with providers and other clinical staff to schedule patient appointments and procedures at Penn Medicine
- Works with Patients and Financial Services at Penn Medicine to facilitate completion of financial paperwork
- Coordinates with billing office at Penn Medicine to ensure sharing of insurance information as required
- Works with Prenatal case manager and Prenatal nurse to schedule and complete intakes
- Assists with referrals as necessary
- Assists in organization and maintenance of Medical Records
- Prepares reports / documents. Organizes and updates information.
- Interacts in a professional manner with all employees, visitors, consultants, and patients.
- Responds to questions, comments, or concerns and directs them to the appropriate party.
- Assists Clinical Team with Scheduling and planning for special events as assigned
- This position will perform ad hoc projects and routine assignments for the Prenatal and Specialties programs and other programs as necessary.
- Performs other duties as assigned.
Knowledge, Skills and Abilities
Knowledge of office practices, procedures, and equipment, including a personal computer and associated software such as Word, spreadsheets, and graphic applications.
Knowledge of Word and Excel required. Experience in the use of electronic medical records a plus.
- Excellent oral and written communication skills, telephone skills and etiquette.
- Knowledge of correct English usage, grammar, spelling, punctuation, and vocabulary
- Ability to exercise interpersonal skills using tact, patience, and courtesy.
- Detail oriented with ability to plan and perform complex administrative duties; establish priorities and organize work.
- Ability to maintain confidentiality in all organizational matters.
- Ability to maintain cooperative and effective working relationships with others.
- Ability to meet schedules and timelines and to work independently with little direction.
- Fluency in spoken and written Spanish preferred
Education, Training and Experience
- Associates Degree preferred.
- Minimum of one year experience in office assisting, medical office preferred
