We are in search of a diligent Administrative Coordinator to join a Financial Services company, based in BALA CYNWYD, Pennsylvania.
You will be primarily responsible for managing the front desk, dealing with office administration, and coordinating Executive’s calendars and travel arrangements.
This position offers a contract to permanent employment opportunity.
Responsibilities :
- Manage and coordinate office administration and procedures to ensure organizational effectiveness and efficiency.
- Handle scheduling, set up, and break down of conference rooms.
- Oversee front desk operations, greeting, and directing clients and visitors as needed.
- Coordinate and manage Executive’s calendars and travel arrangements.
- Handle and maintain office inventory, placing supply orders when necessary.
- Manage and respond to incoming and outgoing mail.
- Handle e-mail correspondence, answering phone calls, and relaying messages.
- Liaise with internal and external parties on administrative matters.
- Ensure the front office and breakrooms are kept clean, organized, and presentable.
- Assist with administrative projects as needed.
- Minimum of 2 years of experience in an administrative role within the financial services industry
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
- Experience with data entry and managing multi-line phone systems
- Strong customer service skills and experience in concierge services
- Excellent interpersonal skills and ability to work effectively in a team
- Experience in organizing and maintaining files and records
- Familiarity with administrative assistance tasks and procedures
- Strong attention to detail and problem-solving abilities
- Excellent written and verbal communication skills
- Ability to prioritize tasks and manage time effectively
- High level of professionalism and ability to maintain confidentiality
- Proactive and self-motivated with a strong work ethic.
