This position is for an enthusiastic organized self-starter; who possess the ability to oversee the paperwork, and documentation of the Regional Residential Sites for Pathways Community Living. This is a full-time administrative role. The duties required will ensure regulatory paperwork is maintained in all sites and collaboration is continuous among all business lines. Local travel is required in this role.

Duties and Responsibilities include the following. Other duties may be assigned.

  • Become familiar with all participant Vial of Life information for each participant.
  • Complete weekly reviews of service delivery documentation weekly. Assisting with the review of notes daily for accuracy and to make sure they are present in ALIS. Have staff revise notes as needed for content.
  • Assist with the creation of monthly reports of participants' progress. Review of goal sheets, compile data for each participant to send to paperwork specialist.
  • Reports are due on the 5th of every month.
  • Complete weekly MAR reviews in each house for each participant and report any issues in the weekly report.
  • Complete weekly review of staff time cards to ensure that they are being entered. Report any issues in the weekly report.
  • Gather weekly paperwork from each site to be submitted at weekly supervision. Paperwork may include, but is not limited to : MARs, mail, sign off documents, car logs, chore sheets, medical appointment forms, count sheets, etc.
  • Attend relevant meetings such as, Monday morning supervision, at 10 : 00 AM.
  • Create and maintain weekly activity / appointment calendars for all sites and participants.
  • Assist with the creation of weekly grocery lists for all sites in conjunction with the culinary department.
  • Complies with all policies, procedures, and Chapter 6400 regulations.
  • Complete monthly inventories for all participants and update in ALIS.
  • Maintains company vehicles that are clean and in good working order.
  • Assist with family communication for all participants upon request.
  • Assist with the compilation of required paperwork, appointment sheets, etc. for participant ISP meetings.
  • Complete necessary paperwork in a timely manner and submit to appropriate department heads (medical, accounting, residential, etc.)
  • Effectively communicate with the supervisor team as well as the leadership team to ensure the entire team is united.

Language Ability :

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of the organization.

Math Ability :

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio and percent, and to draw and interpret bar graphs.

Reasoning Ability :

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Computer Skills :

To perform this job successfully, an individual should have knowledge of Microsoft Word.

Education / Experience :

  • Documented experience working with IDD Relevant knowledge of mental health and intellectual disability.
  • Knowledge of Everyday Lives Principles
  • 18 years of age or older
  • High School Diploma or GED
  • Certificates and Licenses :

  • Act 33, Act 34, and Act 73
  • Valid driver's license Valid Driver License
  • Ability to drive an organization vehicle.
  • Pre-Employment Physical / TB screening.
