JOB SUMMARY

The Operations Administrative Coordinator is primarily responsible for administering the day-to-day operations of the property, while emphasizing positive response to concerns of customers, tenants, and vendors with emphasis on excellent customer service.

This position will act as a source of the information flow in the Operations Department.

ESSENTIAL FUNCTIONS

  • Responsible for maintaining, monitoring and dispatching work orders, using electronic work order system.
  • Takes tenant related calls for service and directs / responds appropriately.
  • Coordinates, schedules, and / or assists the work of contracted outside vendors, maintains the property schedule through the daily memo.
  • Possesses working knowledge of standard contracts and tenant leases, and tenant and contractor rules and regulations.
  • Assists Sr. Manager of Maintenance and Repair as it relates to correspondence and scheduling.
  • Maintains electronic logs of a variety of information, including, but not limited to vendor contacts, OSHA compliance, and tenant correspondence.
  • Manage and help maintain a training log for the Maintenance and Repair team.
  • Tech savvy, and assists the department with spreadsheets and maps, as needed.
  • Performs research and projects, and executive summaries, as assigned by the Sr. Manager of Maintenance and Repair.
  • Supports the Department's electronic document and content management system.
  • Assists with writing and distributing tenant compliance / correspondence.
  • Maintains daily property schedule of vendor / tenant projects, as well as Easton managed projects; ensures guidelines are followed.

QUALIFICATIONS

  • High School Diploma or equivalent; bachelor's degree a plus.
  • 1-3 years previous experience preferred.
  • Strong computer skills including Excel, Word, Outlook, PowerPoint, Adobe, and others as applicable.
  • Experience with Work Order system is desired.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

This job will require being out on property, either walking or driving, for regularly scheduled property reviews, and in a professional office environment.

The individual will be an integral member of the Operations Team and will be expected to interact with all departments, tenants, and vendors;

support all programs by other departments; and participate in staff meetings.

and stoop, kneel, crouch or crawl. The employee must frequently lift and / or move up to 10 pounds and occasionally lift and / or move up to 25 pounds.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

TRAVEL

Occasional travel is expected for this position.
