Customer Service / Order Entry Specialist

We are looking for a detail-oriented and customer-focused Customer Service / Order Entry Specialist to join our client’s team.

The successful candidate will handle customer inquiries, process orders efficiently, and provide exceptional support to ensure customer satisfaction.

This role requires excellent communication skills, strong attention to detail, and the ability to multitask in a fast-paced environment.

This is a Contract opportunities located in Aurora IL.

Responsibilities :

  • Respond to customer inquiries via phone, email, and chat in a timely and professional manner.
  • Provide accurate information about products, services, and order status.
  • Resolve customer complaints and issues with a focus on achieving a positive outcome.
  • Accurately enter customer orders into the system, ensuring all details are correct.
  • Verify and validate order information to prevent errors and discrepancies.
  • Process order modifications, cancellations, and returns as requested by customers.
  • Maintain and update customer records in the database.
  • Ensure data integrity and confidentiality at all times.
  • Generate reports on order status, customer feedback, and other relevant metrics.
  • Liaise with other departments such as Sales, Shipping, and Inventory to ensure order fulfillment.
  • Follow up with customers regarding backorders, delivery schedules, and any changes to their orders.
  • Coordinate with the warehouse team to expedite urgent orders.
  • Identify and resolve order-related issues promptly.
  • Escalate complex issues to the Customer Service Manager / Supervisor as needed.
  • Implement solutions to improve order processing efficiency and customer satisfaction.
  • Assist in training new team members as needed.
  • Participate in team meetings and contribute ideas for process improvements.
  • Provide support during peak periods and special projects.

Qualifications :

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred.
  • Previous experience in customer service and order entry is highly desirable.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
  • Proficient in using order entry systems and CRM software.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong problem-solving skills and a customer-centric attitude.
  • Flexibility to work occasional overtime during peak periods.
