Office & Marketing Coordinator
Job Summary
We are looking for a full-time Office & Marketing Coordinator to undertake a variety of day-to-day administrative and marketing tasks at our Riverside office.
You will be an integral part of ensuring the smooth daily operations of our office and supporting our marketing efforts.
The ideal candidate will be organized, proactive, and capable of managing multiple tasks efficiently. This entry-level role offers an excellent opportunity for growth and development within our company.
An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills.
You will be comfortable working with people across all departments within Medcom and assisting those visitors, vendors, and delivery persons who frequent our office.
Your success in this position will depend heavily on the ability to manage multiple projects, multiple personalities, and a flexible list of job duties and responsibilities.
The goal is to ensure that office operations are efficient and add maximum value to the organization.
Responsibilities
- Reports directly to Medcom's Marketing Manager
- Follow office workflow procedures to ensure maximum efficiency
- Provide on-site assistance as requested by directors or committees
- Set up meetings and webinars for various departments
- Compile management reports for bi-weekly meetings
- Maintain files and records with effective filing systems
- Greet and assist visitors when they arrive at the office
- Handle maintenance requests by contacting and scheduling repairs
- Inventory Management
- Monitor parking privileges and violations
- Vendor relationship management
- Processing daily in-office mail
- Coordinate in-office and off-site events and meetings
- New Hire onboarding support
Requirements
- Proven experience as an office coordinator and / or marketing support
- Creative skills for designing internal communications and marketing materials
- Proficiency in Microsoft Office suite
- Working knowledge of office equipment
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Excellent time-management skills
- Ability to manage vendor relationships and office logistics
- Ability to lift and manage office supplies (e.g., 50 lbs of printer copy paper).
- Associate's or bachelor's degree is a plus
- First 90 to 180 days are expected to be in office, after which a hybrid will be assessed (3 in-office, 2 remote)
