Assistant Director of Grants and Sponsored Programs

Under the supervision of the Director of Grants and Sponsored Programs, Hood College seeks a highly organized, detail-oriented, and service-focused full-time Assistant Director of Grants and Sponsored Programs to assist with grant development and manage the execution of grants and sponsored programs, including compliance with college and grant maker policies and regulations, budget reconciliation, and internal and external reporting.

  • The qualified candidate will have advanced business acumen to professionally handle multiple priorities within a fast-paced environment;
  • use technology to maximize efficiency and maintain appropriate internal controls; deliver high-quality constituent service;

handle confidential information; manage all office correspondence in a timely and professional manner; and monitor project timelines and deadlines.

Essential Duties include the following; however, other duties may be assigned.

Grant / contract compliance (40%)

  • Ensures grant compliance with the funders' and Hood's policies.
  • Provides guidance in general activities of grant compliance, tracking effort certifications, conflict of interest, and responsible conduct of research training confirmation.
  • For all subwards, ensures the completion of the pre-award subaward commitment form, oversees and tracks subrecipient monitoring, and acts as liaison between subawardee and Hood.
  • Routinely reviews and revises the college’s grants and sponsored program policies in coordination with the Director of Grant and Sponsored Programs.

Post-award grant / contract reporting (30%)

  • Manages post-award grant reporting, including post-award closeouts.
  • Works with faculty and staff to ensure timely reporting to grant agencies.
  • Manages grants and contracts information including developing and maintaining a database of both hard and electronic files.

Grant / contract expenditure tracking (20%)

  • Assists accounting and principal investigators with expenditure tracking.
  • Liaises with accounting office on personnel effort and expenses.
  • Performs routine review of grant expenditures with project directors to assess spending and forecast future expenses.

Assist with pre-award grant development (10%)

  • Ensures that college proposals meet the funding agency’s announcement and guidelines, including data gathering and analysis.
  • Occasionally assists with grant proposal development, editing, and budget creation.

Education and / or Experience

Bachelor's degree and two to four years of related experience in grant management and / or bookkeeping preferred or equivalent combination of education and / or experience required.

Minimum Requirements / Qualifications

Bachelor’s degree and 2-4 years office experience preferred. The ability to be detail-oriented; have strong written communication skills;

exceptional organizational, analytical, and problem-solving skills; and perform mathematical operations such as percentages, addition, subtraction, and multiplication is necessary.

The successful applicant must be highly service-oriented; must be able to work and communicate effectively with individuals from all levels of the organization;

must be capable of independent work and judgment; must have the ability to exercise strong time management techniques; and accomplish responsibilities with enthusiasm and dedication.

Preferred Skills and Characteristics

Two to four years of office experience preferred, with experience with grant administration and / or bookkeeping functions.

Knowledge of federal grants, Uniform Guidance principles, and compliance topics such as time and effort, conflict of interest, and responsible conduct of research would be ideal.

Technology Skills

Proficient in MS Office tools (Microsoft Word, Excel, and PowerPoint), e-mail and Internet. Ability to learn new applications quickly including organization-wide information systems and department-specific software applications.

Language Skills

Strong oral and written communication skills. Ability to effectively provide information and positively respond to questions from both external and internal customers both in person and by phone.

Ability to write routine reports and correspondence.

Mathematical Skills

Proficient with statistical and financial concepts. Must have the ability to apply those concepts to tracking, projections, goal setting and interpreting reports.

Must be able to draw conclusions from reports and make cost effective decisions regarding programs.

Reasoning Ability

Ability to solve practical problems and deal with a number of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to work independently and as a member of a group in developing and executing project plans.

Ability to work in theoretical arena and apply logic as appropriate.
