Job Overview
Oversees office and administrative support staff. Ensures the office is running smoothly and effectively based on
procedure. Manages scheduling and payroll. Plans for staff training and new employee onboarding / training
Preferred Experience Skills
High School Diploma or Equivalent Excellent organizational and leadership skills
Associates Degree in relevant field of study Professional demeanor
Proven experience as an office administrator,
bookkeeper or relevant role Outstanding communication and interpersonal abilities
QuickBooks Experience Ability to multitask and prioritize projects
Familiarity with office management procedures Excellent organizational skills
Ability to complete complex administrative tasks with
minimal supervision Computer savvy

Expectations & Responsibilities
Supervision of administrative staff and office functions. Manage administrative staff to ensure
timeliness of completion of assigned tasks
Verify P& L Accuracy Daily
Adherence to and generation office procedures as well as company policies; advises of recommended
changes for efficiency and productivity
Oversee Employee Handbook Creation and Maintain Accuracy
Streamline and update employee handbooks and procedures.
Provide daily and weekly reporting to Management as directed.
Oversee yearly goals for all departments and report accordingly as directed
Process payroll and maintain payroll records.
Responsible for timely 941 tax deposits and other payroll tax liabilities.
Manage the new hire process to include accurately completed paperwork, background and motor
vehicle checks, drug screening.
Schedule 90 day reviews and oversee completion of tasks
Enroll employees in 401k and Health Insurance Benefits
Train new administrative employees.
Maintain employee records
Maintain and oversee vacation requests and schedule
Oversee Health Insurance Plan Renewal annually
Oversee process of employee resignations
Accounts Payable / Receivable
Maintain all insurance data, including policies, certificates of insurance, vehicle insurance, etc.
Prepare information for company insurance audits.
Oversee preparation of daily deposits and process customer financing.
Calculate and pay sales commissions and SPIFFs.
Job cost every 5th job or as directed.
Purge old files periodically to archive.
Reconcile all Balance Sheet accounts at month end and update General Ledger with Accountants
adjustments.
Oversee past due balances for collection purposes.
Elevated customer service issues.
Continuing education to increase functions for accounting / budgeting as well as human resources and
business management
Other duties as assigned.
Quarterly Review Impact Factors
Timeliness and accuracy of reporting. Efficiency of administrative staff.
Aging of accounts receivable and receivable kept
within percentage of past due guidelines. Communication skills.
Managerial reviews Attendance; timeliness
