What You Will Be Doing :
Provide courteous and efficient service to both internal and external clients, visitors and vendors in person, in writing and orally.
About This Role :
- Greets all visitors, announces their arrival, directs them to coat closet, the conference room, or where to wait for their host.
- Ensures that all visitors are entered into landlord registration system, announced and escorted as requested to conference rooms in a timely and professional manner.
- Records all visitor names, time of arrival, and person being visited.
- Prepares, collects, inventories and distributes visitor badges on a daily basis so that contractor as well as visitor badges and temp badges are readily available to all that require them.
- Review Visitor Registrations and conference room reports to ensure working knowledge of all visitors, meetings, conferences and events.
- Validates parking tickets, maintains log of daily validations and creates monthly spreadsheet.
- Answers the telephone in a timely manner, takes complete, accurate messages and treats all external and internal clients professionally and with courtesy.
- Maintains general neighborhood information at reception to provide visitors with general information.
- Makes sure that reception desk and seating area is clean and organized.
- Reports suspicious visitors to Operations and WilmerHale and Building Security.
- Maintains CSR guidebook.
- Coordinates with other Client Service Representatives to cover breaks, lunch hours, and PTO.
- Receive and forward requests for visitor offices, apartment reservations and facilities inquiries to appropriate personnel.
- Assists Operations Department with special requests and assignments.
- Assists with general administrative and general office assistance. Performs opening and closing procedures.
- Assists with preparation of Operations Department invoices and expense reports in Chrome River.
- Maintains an incoming / outgoing log for packages, hand deliveries, etc. and ensures proper and timely distribution of same.
- Responds to questions and complaints regarding office space (i.e. cleanliness, office / hall temperatures bathroom maintenance) and escalates concerns as appropriate.
- Assists clients or staff with inquiries (e.g. directions, office information, extension, etc.).
- Provides back-up for Firm Switchboard Assistants.
- Provides back-up support to Meeting Coordinator and Facilities team as needed outside of normal shift coverage.
- Assumes additional responsibilities as assigned.
- Contributes to the Firm's Service Excellence initiative to consistently improve its image internally and externally. Displays professionalism, quality service and a "can do" attitude.
Required Skills

- Proficient in technology including Microsoft Office applications
Required Experience
Education :
High School Diploma or GED required. Two year college degree preferred.
Experience :
Prior professional or corporate experience is highly desirable.
