DESCRIPTION
Schedule and organize complex activities such as meetings, local and out-of-town travel conference, and department activities for all members of the Harris County Area Agency on Aging and Aging Disability Resource Center.
Sorts and distributes mail; drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
Works independently and within a team on special and ongoing projects. Types and creates general correspondences, memos, excel spreadsheets, etc.
Proofreads written correspondences for spelling, grammar, layout and makes appropriate changes if applicable. Responsible for accuracy and clarity of final copy.
Work with key stakeholders of the department and / or community stakeholders on behalf of Bureau Chief; schedule interviews, meetings, provide logistical / general support if needed.
Act policies that directly impact program operations, etc. Performs basic research and gathers necessary information in bureau operation activities as required.
Assist with data entry / tracking of client outcomes and other metrics utilizing online data systems. Answer the phone and appropriately respond to members of the public or City employees.
Collect monthly program utilization data to support reporting. Develop surveys and forms to assist programs. Oversee Aging vehicle maintenance schedule and check-out process.
Purchase and order supplies and other program equipment using the appropriate system. Experienced in Microsoft Office products (Word, Excel, Power Point, Teams, Outlook) and zoom.
Will perform other duties as assigned. Must have a valid Texas Driver’s License and comply with AP 2-2 policy.
KNOWLEDGE :
Basic knowledge of grammar, spelling, punctuation and simple mathematical functions like percentages, ratios, etc. as might normally be acquired through attainment of a high school diploma or a GED.
EXPERIENCE :
Two years of administrative or customer service-related experience are required.
PHYSICAL EFFORT :
The position is physically comfortable most of the time with occasional periods of stooping, bending and / or light lifting of materials of up to 10 pounds in the Houston Permitting Center, the position may require lifting of moderately heavy items, such as plans (up to 40 pounds)
WORK ENVIRONMENT :
There are occasional minor discomforts from exposure to less-than-optimal temperature and air conditions. The position may involve dealing with modestly unpleasant situations, as with occasional exposure to office chemicals and / or extensive use of a video display terminal
PHYSICAL SKILL :
Requires the ability to make coordinated gross motor movements in response to changing external stimuli within moderately demanding tolerances;
or the ability to make coordinated eye / hand movements on a patterned response space within low tolerance demands with no real speed requirements.
