As an Operations Support Analyst, you’ll be at the core of our operational excellence, ensuring that our day-to-day business functions run smoothly and efficiently in support of delivering exceptional care.

Your mission : streamline office operations, support clinicians and leadership teams, and maintain compliance with healthcare regulations. You’ll oversee administrative processes, manage patient and billing records, and foster an environment where our team can focus on what matters most—patient care.

Through your leadership and attention to detail, you’ll play a pivotal role in enabling h / care to provide life-changing care for patients, support for their families, and stability for our staff. Key Responsibilities

Streamlining Office Operations

  • Assist with day-to-day administrative functions, including patient intake, billing, accounts receivable, and payroll processing, to ensure smooth and efficient business operations.
  • Support implementation and maintain standardized processes and workflows that support compliance, reduce errors, and enhance operational efficiency.
  • Organize and manage the administrative functions required for the Remote Monitoring Program

Ensure Compliance and Accuracy

  • Monitor adherence to federal, state, and local regulations governing home health and hospice operations, ensuring all processes meet industry standards.
  • Participate in audits of patient records, billing practices, and financial transactions as directed, to maintain accuracy and compliance while identifying areas for improvement.
  • Support licensing, credentialing, and ongoing regulatory processes to ensure seamless transitions and uninterrupted service delivery.
  • Driving Operational Excellence

  • Assist with the tracking, analysis, and reporting of key performance indicators (KPIs) such as billing turnaround time, employee productivity, and patient satisfaction to inform decision-making and drive continuous improvement.
  • Partner with the Operations Support Manager to identify operational initiatives that align with h / care’s strategic goals and growth plans.
  • Financial Stewardship

  • Maintain an awareness of operational budgets, ensuring cost-effective use of resources while meeting financial goals and supporting organizational growth.
  • Assist with revenue cycle management activities, ensuring timely billing, accurate coding, and efficient collections processes.
  • Play a Critical Role of a High-Performing Team

  • Assist in development of office staff, creating a culture of accountability, collaboration, and professional growth.
  • Foster strong communication and teamwork across clinical and operational teams to ensure alignment and shared success.
  • Promote a positive work environment that supports staff engagement, retention, and satisfaction.

  • Ensure all operational practices prioritize patient care, enabling clinicians to spend more time with patients and less on administrative tasks.
  • Support the organization’s mission by facilitating seamless service delivery, fostering trust with families, and enhancing patient outcomes.
  • Act as a steward of h / care’s values, ensuring that operational excellence translates to meaningful improvements in the lives of those served.
  • A Typical Day

  • Operational Metrics Review : Regularly monitor key operational metrics, such as billing turnaround times, accounts receivable status, and update daily dashboard. Prioritize actions to ensure efficient and compliant workflows.
  • Compliance and Documentation Management : Assist with assuring that patient and billing records are accurate and comply with regulatory standards. Address discrepancies, update systems, and prepare for audits or reporting requirements.
  • Process Improvement and Problem-Solving : Help identify opportunities to streamline workflows and resolve operational challenges. Implement improvements that enhance efficiency, reduce errors, and support high-quality care delivery.
  • Team Development : Provide mentorship and training to office staff, fostering a collaborative culture and encouraging professional growth. Offer feedback and support to enhance individual and team performance.
  • Project Execution and Reporting : Work on strategic projects, such as implementing new technology or preparing budgets. Create data-driven reports to support decision-making and propose operational improvements.
  • Reflection and Forward Planning : Assess completed tasks and progress toward goals. Outline priorities for upcoming projects and prepare resources to address ongoing operational needs.
  • Your Expertise

  • Education : Bachelor’s degree in Marketing, Business Administration, Healthcare Administration, or related field.
  • Healthcare Operations Knowledge : Deep understanding of the home health and hospice industry, including regulatory requirements, Medicare / Medicaid compliance, and best practices for operational efficiency.
  • Proven Administrative Leadership : Demonstrated ability to oversee and optimize administrative processes such as billing, accounts receivable, payroll, and patient intake to ensure seamless operations.
  • Compliance and Quality Assurance : Strong knowledge of federal, state, and local regulations governing home health and hospice services, with a track record of ensuring operational compliance and readiness for audits.
  • Problem-Solving Skills : Proactive approach to identifying operational challenges, analyzing root causes, and implementing effective, scalable solutions.
  • Data-Driven Decision-Making : Ability to track, interpret, and act on operational metrics to improve processes, increase efficiency, and enhance patient care.
  • Team Leadership : Proven success in mentoring and managing administrative staff, fostering a culture of accountability, professional growth, and collaboration.
