We are offering a contract employment opportunity for a Receptionist role based in San Rafael, California. This position is integral to our operations, providing administrative support and property management duties in a small office environment.
The role requires proficiency in Microsoft Office suite and data entry, as well as managing relationships with vendors.
Responsibilities :
- Answering phones and addressing inquiries, ensuring efficient communication within the office
- Maintaining and updating member data, employing accuracy and attention to detail
- Preparing correspondence from union representatives and sending out meeting notices
- Organizing and preparing materials for meetings, including binders and other necessary documents
- Managing vendor relationships for repair work and other property management duties
- Ordering food and other supplies as needed for the office
- Conducting legal referrals, filing, and archiving as necessary
- Ensuring the office environment is well-maintained and organized for optimal functionality.
- Proficiency in data entry tasks, ensuring accuracy and speed
- Advanced knowledge of Microsoft Excel, including pivot tables, VLOOKUPs, and complex formulas
- Experience in managing vendor relationships, including negotiation, communication, and problem resolution
- Excellent verbal and written communication skills
- Ability to multitask in a fast-paced environment
- Strong organizational skills and attention to detail
- Customer service experience, preferably in a front desk or reception role
- Ability to operate standard office equipment, such as telephones, computers, and copy machines
- Willingness to take on administrative tasks as needed
- High level of professionalism and personal integrity
- Ability to handle sensitive information with discretion.
